What the Business Services RLI is and when organizations use it

The Business Services RLI is a standardized Request for Liability Information (RLI) form used by service providers and clients to document insurance coverage, liability limits, and risk allocation tied to a business services engagement. It collects party names, policy numbers, coverage types, effective and expiration dates, limits of liability, and certificate-holder details to verify insurance before work begins. The RLI is commonly used by vendors, subcontractors, property managers, and corporate procurement teams as part of onboarding, contract formation, or compliance reviews. Proper completion helps confirm that required coverages are in place and reduces downstream contract disputes.

Why completing a Business Services RLI matters for risk control

A correctly completed RLI documents insurance presence, policy limits, and effective dates to align contractual indemnities with actual carrier coverage, reducing exposure and clarifying responsibility between parties.

Why completing a Business Services RLI matters for risk control

Which teams and roles typically complete or request the RLI

Requesters should keep a signed, dated copy with the contract file and verify renewals before extensions or additional work.

  • Procurement and vendor management teams that need to confirm vendor insurance meets contract requirements and limits.
  • Facilities or property managers onboarding vendors who will access client sites and require evidence of liability coverage.
  • Legal and risk teams who reconcile contract indemnities with insurer policy language to reduce uncovered liabilities.

Step-by-step: completing and verifying a Business Services RLI

Follow these ordered steps to collect, confirm, and file insurance evidence before services commence.

  • 01
Prepare Request: Identify required coverages and limits from the contract or SOW.
  • 02
Send RLI: Provide the fillable RLI to the vendor and specify a return deadline.
  • 03
Verify Policy: Confirm policy numbers, dates, and limits with the issuing carrier or via the certificate.
  • 04
File and Monitor: Attach the verified RLI to the contract file and schedule renewal checks before expiration.

How the RLI flows through your approval process

A typical RLI workflow moves from request to verification, then to approval and retention for audit purposes.

  • Request Issued: Procurement or contract owner sends the RLI to the vendor.
  • Vendor Completes: Vendor fills policy fields and returns the RLI plus certificate.
  • Carrier Verification: Risk team or certificate vendor verifies coverage with insurer.
  • Approval Recorded: Approved RLI stored with contract; renewals scheduled.

Suggested digital workflow settings for RLI processing

Configure a consistent digital workflow to reduce manual follow-up and preserve an audit trail.

Field Configuration
Signature Required Yes — vendor signature and date fields
Authentication Email verification or SMS two-factor for high-risk vendors
Document Retention Store signed RLIs in contract repository for retention period
Renewal Alerts Automated reminders 30 and 10 days before expiration

Digital delivery and e-signature considerations

Ensure the chosen platform preserves timestamps and IP data to meet internal compliance and audit needs.

  • File formats: Accepts PDF, DOCX, and scanned images
  • Integrations: Works with Salesforce, NetSuite, Google Workspace
  • Authentication: Email, SMS code, or two-factor options

Essential elements of a professional Business Services RLI

A complete RLI includes identifying information, detailed policy data, signer attestations, and instructions for verification and certificate delivery.

Identification

Full legal names for requesting party and insured, plus contact details for follow-up and certificate delivery.

Policy Details

Complete policy number, carrier name, effective and expiration dates, and specific coverage types listed.

Limits

Numeric limits per coverage line, including per-occurrence and aggregate values where applicable.

Certificate Holder

Name and address exactly matching the contract’s certificate-holder clause for notices.

Attestation

Signed vendor statement confirming the accuracy of the provided insurance information and authorization to verify.

Verification Notes

Space for verifier initials, verification date, and method used (carrier call, e-verify service, or portal lookup).

Security and compliance considerations for electronically submitted RLIs

Encryption: TLS 1.2/1.3 in transit; AES-256 at rest
Certifications: ISO 27001 and SOC 2 Type II
HIPAA: HIPAA support with BAA available
Audit Trail: Timestamps, IP addresses, and action logs
Access Controls: SSO and role-based permissions
Accessibility: WCAG 2.0 Level AA compliance

Common preparation challenges to avoid

  • Submitting partial policy numbers that delay carrier verification and extend approval timelines.
  • Using informal or trade names that do not match the insurer’s policy records, causing mismatch rejections.
  • Failing to capture certificate-holder address precisely, which can invalidate notice requirements.
  • Neglecting renewal monitoring, which exposes projects to lapses in coverage during active work.

Risks and potential consequences of incorrect or missing RLIs

Contractual Breach: Failure to verify insurance can trigger indemnity disputes and breach claims
Financial Exposure: Uninsured losses may become contract party liabilities
Work Delays: Projects can be suspended until coverage is confirmed
Regulatory Risk: Certain industries require documented insurance for licensing or permits
Increased Costs: Last-minute procurement of insurance can raise premium costs
Reputational Harm: Repeated failures to verify can affect vendor standing with clients

Timing and deadlines commonly associated with RLI requests

Plan RLI requests early and align return deadlines with contract milestones to prevent start delays.

Request Lead Time:

Ask for RLIs at least 10–15 business days before work starts

Certificate Renewal Check:

Verify policy status 30 days before expiration

Immediate Verification:

Confirm coverage within 3 business days of receiving the certificate

Contract Commencement:

Require valid coverage on or before the contract start date

Post-Renewal Filing:

Update contract file within 5 business days after renewal verification
