It bundles structured fields, conditional logic, and signature blocks so teams can collect consistent data for client onboarding, supplier agreements, and internal approvals. Step-by-Step: Filling and Finalizing the Smartskin Document

Complete the Smartskin in sequence to ensure conditional fields populate correctly and required validations run before signature collection.

  • 01
Prepare: Confirm party details and supporting exhibits are available.
  • 02
Fill: Enter required fields, using MM/DD/YYYY for dates and full names.
  • 03
Validate: Run built-in checks and resolve any red-flag validation errors.
  • 04
Execute: Route for signatures, apply authentication, and capture the audit trail.

How to Configure the Online Workflow

Set routing, authentication, and notification options to match internal controls and regulatory requirements before sending for signature.

Field Configuration
Routing Order Sequential or parallel signer order; choose based on approval hierarchy.
Authentication Email link, SMS code, or knowledge-based auth depending on risk.
Conditional Fields Enable conditional displays to minimize unnecessary inputs.
Notifications Set reminders and completion messages for signers and administrators.

Where to Send and How Signatures Flow

A typical Smartskin routing flow moves the document from preparer to signers and finally to storage systems with a complete audit record.

  • Send to Signer: Dispatch email or secure link for each signer to review and sign.
  • Authenticate: Use chosen authentication method to verify signer identity at access.
  • Capture Signature: Signer applies signature and dates; the system records metadata.
  • Archive: Save executed copy and audit trail to your document repository.

Technical and Integration Considerations

Ensure the signing platform supports required file types, integrations, and authentication methods to meet your workflow needs.

  • File Formats: PDF, DOCX, and XLSX supported for upload and signing.
  • Integrations: Salesforce, NetSuite, Google Workspace, Box, Procore among supported connectors.
  • Authentication: Email link, SMS, and stronger MFA options available.

Typical Timelines and Processing Expectations

Set clear internal deadlines and signer response windows to avoid delays; eSignature routing usually shortens completion time but allow buffer for identity verification.

Internal Preparation:

1–3 business days depending on complexity.

Signer Response Window:

Commonly 7–14 days; set reminders for expiring links.

Identity Verification:

Add 1–2 days if KBA or ID analysis is required.

Processing After Execution:

Export and archive within 1–3 business days.

Dispute Window:

Maintain signed records to support a typical 3–6 year limitation period.

Common Preparation Mistakes to Avoid

  • Leaving conditional fields blank because a dependent field was changed after initial entry, causing incomplete obligations.
  • Entering informal names or abbreviations instead of exact legal entity names, which can stall verification and payment processes.
  • Failing to include exhibits or SOWs referenced in the body, creating ambiguity about deliverables and acceptance criteria.
  • Skipping identity-authentication for high-risk signers, increasing exposure to repudiation or fraud claims.

Key Risks and Potential Penalties

Incorrect TIN: Triggers 24% backup withholding
Late 1099 Filing: Penalties $60–$330 per form
Intentional Disregard: Penalties $660+ per form, no cap
I-9 Paperwork: $281–$2,789 per violation
Missing Notarization: May invalidate deed or POA in some states
Inadequate Retention: Regulatory noncompliance and audit risk
