What the Business Services SPDS Is and when it matters

The Business Services SPDS (Service Provider Data Sheet) is a standardized document used to collect operational, compliance, and contact details from vendors or service providers. It typically aggregates company identification, primary contacts, insurance and licensing information, security posture, relevant certifications, and scope of services. Organizations use an SPDS to evaluate suppliers, confirm regulatory obligations, and onboard third parties while preserving a single, auditable record of the provider’s representations and commitments.

Why a clear Business Services SPDS reduces risk

A well-prepared SPDS centralizes compliance evidence, speeds vendor assessment, and documents contractual prerequisites. It simplifies audits and supports consistent decision-making without replacing contracts or formal procurement approvals.

Why a clear Business Services SPDS reduces risk

Which teams complete and rely on the SPDS

Multiple stakeholders reference the SPDS during vendor selection, periodic reviews, and incident response planning.

  • Procurement teams reviewing supplier qualifications and contract prerequisites.
  • Information security teams validating certifications, controls, and access details.
  • Legal or compliance reviewers checking licenses, insurance, and regulatory commitments.

Stepwise process to complete a Business Services SPDS

Follow these sequential steps to gather, verify, and finalize SPDS information with internal reviewers before signatures.

  • 01
Gather: Collect corporate, contact, insurance, and license data from the provider.
  • 02
Validate: Confirm licenses, insurance limits, and certifications with source documents.
  • 03
Review: Route to security, procurement, and legal for role-based approvals.
  • 04
Sign: Obtain authorized signatures and archive the completed SPDS.

How eSubmission and approvals typically flow

A standard eSubmission workflow reduces paper, captures audit data, and makes approvals traceable across reviewers.

  • Upload: Submit SPDS and attachments to the platform for routing.
  • Assign Reviewers: Designate procurement, security, and legal reviewers in sequence.
  • Sign: Authorized signers apply electronic signatures; audit trail is recorded.
  • Archive: Store the final SPDS in an access-controlled repository with retention metadata.

Recommended online workflow settings for SPDS processing

Configure routing, authentication, and retention settings to match your internal control requirements.

Field Configuration
Signer Order Sequential routing to compliance, security, then legal
Authentication Email + optional SMS code or KBA for high-risk providers
Attachment Requirements Require certificate of insurance and license PDFs
Retention Tagging Assign retention label and archival destination

Choose settings that balance signer convenience with required evidence for audit and compliance.

  • Document Formats: PDF, DOCX, and scanned images supported

Practical tips for accurate and efficient SPDS completion

Adopting consistent practices reduces review cycles and supports audits across procurement, legal, and security teams.

Use a master template
Standardize required fields and attachments so vendors submit the same items every time; this eliminates back-and-forth requests and shortens onboarding timelines.
Require source documents
Ask for original license PDFs and current certificates of insurance rather than summaries to speed verification and reduce manual validation effort.
Apply role-based approvals
Route the SPDS automatically to security, procurement, and legal in sequence so each reviewer sees only the fields relevant to their assessment.
Capture an audit trail
Ensure the eSignature platform records timestamps, IP addresses, and signer authentication method to preserve admissible evidence of consent.

Typical timelines and processing expectations for SPDS workflows

Set realistic internal SLAs for each stage—collection, review, signature, and archival—to minimize vendor onboarding delays.

Data Request Turnaround:

Vendors should return completed SPDS within 7–14 business days

Internal Review:

Allow 3–5 business days per reviewer for verification

Signature Completion:

Electronic signatures typically complete within 24–72 hours

Notary Scheduling:

Expect 1–3 business days if in-person notarization is needed

Archival Confirmation:

Final document stored and tagged immediately upon completion
