What the Business Services SS-4 Is

The Business Services SS-4 refers to IRS Form SS-4 (commonly written SS-4), the federal application used to obtain an Employer Identification Number (EIN). Organizations use an EIN to report federal taxes, open business bank accounts, hire employees, and establish payroll tax accounts. The SS-4 can be completed by sole proprietors, partnerships, corporations, LLCs, estates, trusts, and other entities that need a TIN for federal tax administration. There is no IRS filing fee to request an EIN.

Why an SS-4 Matters for Business Operations

An EIN issued via the SS-4 is the federal identifier for tax withholding, banking, and payroll. Obtaining an EIN separates business and personal tax reporting, enables Form W-2 and Form 1099 filing, and is required before hiring employees or opening many commercial accounts.

Why an SS-4 Matters for Business Operations

Who Typically Prepares or Needs the SS-4

The SS-4 is used across organizational types; several common profiles repeatedly complete it.

  • Small businesses and startups that need an EIN to open bank accounts, register for state taxes, or hire the first employee.
  • Payroll administrators and employers registering for federal tax deposits and reporting requirements, including Form W-2 filings.
  • Professional service firms, nonprofit groups, and trusts that must report income or withhold taxes under an EIN.

Choose the profile that best matches your situation to confirm which fields and supporting steps apply.

Core Elements to Expect on the SS-4

A properly completed SS-4 includes entity identifiers, responsible party details, the reason for applying, and contact information. Each element affects IRS processing and downstream state registrations.

EIN

The nine-digit number assigned by the IRS that the business uses for federal tax reporting and payroll deposits.

Responsible Party

The person who controls, manages, or directs the entity and who must be listed with their SSN or ITIN or foreign TIN.

Entity Type

Indicate whether the applicant is a sole proprietorship, partnership, corporation, S corporation, estate, or trust.

Reason

Specify why the EIN is requested (new business, hiring employees, banking, retirement plan, etc.).

Business Address

Provide the principal business mailing address; use a physical address if a P.O. box is insufficient for state processes.

Start Date

Enter the date business activities began; this can affect payroll tax schedules and state registration timing.
