Practical tips to complete and manage the form efficiently

Follow these operational best practices to reduce errors, preserve compliance, and speed approvals without increasing legal risk.

Verify legal names
Confirm each party’s exact legal name against formation documents or W-9 information before sending. Mismatched names cause payment delays and may trigger backup withholding or require corrected tax reporting.
Use standardized templates
Keep a single approved template in your document library with locked core clauses and configurable fields. This reduces negotiation friction and preserves consistent retention and audit metadata across agreements.
Require appropriate authentication
Select authentication strength proportionate to transaction risk — email for routine orders, SMS or KBA for higher-value or regulatory-sensitive agreements, and advanced methods where 21 CFR Part 11 or HIPAA apply.
Preserve the audit trail
Store signed PDFs alongside their audit records (timestamps, signer identity, IP). Retain both for the full statutory period to support audits or dispute resolution.
