What the Business Services VHI Is and when it’s used

The Business Services VHI is a standardized vendor information and service verification form used by organizations to collect essential details from suppliers, contractors, or service providers. It typically captures legal entity data, contact information, scope of services, insurance and compliance attestations, pricing or fee schedules, and the designated authorized signer. Organizations use the VHI to support procurement, contracting, vendor onboarding, payment setup, and recordkeeping. Preparing a clear, complete VHI reduces review cycles and helps downstream teams—procurement, accounts payable, legal, and compliance—verify readiness to transact.

Why a well-prepared Business Services VHI matters

A consistent VHI centralizes vendor facts, speeds validation, and reduces follow-up requests. It clarifies contractual scope, documents insurance and regulatory attestations, and creates a record that supports audit, tax, and compliance reviews across departments.

Why a well-prepared Business Services VHI matters

Who completes and relies on the Business Services VHI

Tailor the form so each stakeholder receives the fields they need: procurement gets scope and pricing, finance gets tax and banking details, and compliance gets certifications and attestations.

Essential sections to include in a Business Services VHI

A professional VHI organizes information into clear sections so reviewers can verify identity, service terms, and compliance quickly without chasing documents.

Configuring an online VHI workflow

Set approval order and authentication to match your internal control requirements before sending the VHI to vendors.

Field Configuration
Template Reusable VHI with required fields pre-placed
Signer Order Vendor signs first, then internal approvers
Authentication Email or SMS code; use stronger KBA if needed
Storage Save to contract repository or cloud

Where to send or file the completed VHI

Route the finished VHI to teams and systems that require it; choose destinations that maintain an auditable trail.

  • Vendor Portal: Upload signed VHI to supplier profile
  • Accounts Payable: Send for payment setup and invoice matching
  • Procurement System: Attach to the vendor record and contract
  • Corporate Records: Archive final VHI for audit and retention

Digital delivery and format considerations

Ensure your eSubmission platform captures audit metadata (timestamp, IP, signer email) and stores a tamper-evident copy for compliance and dispute resolution.

  • File Formats: PDF preferred; Word DOCX acceptable
  • Integrations: Salesforce, NetSuite, Microsoft 365
  • Access Controls: Role-based permissions required

Contract Renewal Notice:

Commonly 30–60 days prior to renewal

Insurance Certificate Updates:

Provide updated certificates before expiry
