What the Business Smart Form Is and when it's used

The Business Smart Form is a standardized, fillable document used to collect structured business information, approvals, or transactional authorizations across departments and external partners. It combines clear data fields, conditional logic, and signature blocks to reduce manual entry and support automated routing. Organizations use this type of form for vendor onboarding, contract summaries, purchase approvals, and internal declarations where a consistent data layout and auditable signature record are required. When completed correctly, it serves as a reliable electronic record that can be retained, searched, and reproduced for compliance and audit purposes.

Why a Business Smart Form adds value to routine transactions

A Business Smart Form enforces a consistent structure that reduces errors, speeds approvals, and creates an auditable record of intent and consent under U.S. electronic-signature law.

Maintain a single approved template per use case and include version control to avoid conflicting terms across teams.
Validate required fields
Use mandatory and conditional fields to prevent incomplete submissions and reduce downstream manual checks.
Choose appropriate authentication
Match signer authentication strength to transaction risk—email for low risk, SMS/KBA or ID proofing for regulated agreements.
Preserve audit records
