What a Business Solution Document Is and When to Use It

A Business Solution Document is a structured proposal that describes a recommended course of action, scope, deliverables, responsibilities, timelines, and costs for solving a business problem. It combines technical requirements, commercial terms, assumptions, and acceptance criteria so stakeholders can compare options and authorize work. Typical uses include procurement decisions, project kickoff, vendor onboarding, and internal approvals. The document is written to be actionable, auditable, and reusable as the basis for contracts or statements of work once parties agree to the terms and sign.

Why a Clear Business Solution Document Matters

A well-prepared Business Solution Document reduces ambiguity, aligns stakeholders, and creates a record for approvals and compliance. It clarifies expectations, limits scope creep, and supports lawful execution when integrated into contracting and procurement workflows.

Why a Clear Business Solution Document Matters

Primary Users and Stakeholders

Teams and individuals who prepare, review, or approve solution proposals vary by organization and project type.

  • Project Managers and PMOs responsible for scope, schedule, and cross-functional coordination.
  • Procurement and Sourcing teams who evaluate costs, vendor terms, and risk allocation.
  • Legal, Finance, and Compliance reviewers who validate terms, regulatory obligations, and budget authorization.

Identifying the correct mix of decision-makers and approvers reduces approval cycles and prevents rework during contract conversion.

Core Components to Include in Every Business Solution Document

A concise, consistent structure helps reviewers find what they need quickly and supports conversion to contracts or statements of work.

Executive Summary

One-page overview of the problem, recommended solution, benefits, estimated cost, and a clear decision request for approvers.

Scope

Detailed description of what is included and excluded, deliverables, interfaces, and acceptance criteria to avoid scope creep.

Line-item estimates, assumptions, payment terms, and contingency allowances to support budgeting and procurement review.

Roles & Responsibilities

Clear assignment of owner roles, decision authorities, and escalation paths for execution and governance.

Risks & Mitigations

Step-by-Step: Preparing and Finalizing the Document

Follow a consistent sequence from draft to sign-off to reduce review rounds and ensure contract-ready output.

Draft: Compile scope, costs, and timeline in the template.
  • 02
Internal Review: Share with procurement, legal, and finance for comments.
  • 03
Revise: Incorporate feedback and finalize acceptance criteria.
  • 04
Approve & Sign: Obtain authorized signatures and retain the executed record.

Where to Send the Completed Document and Typical Destinations

Decide routing based on whether the document converts to a contract, requires filing, or is retained internally.

  • Internal Records: Store in contract repository with metadata tags.
  • Procurement: Submit to purchasing for PO generation and budget validation.
  • Legal: Upload for contract drafting and regulatory review.
  • External Vendors: Send signed copies to third parties for execution and onboarding.
