What the Business Speed Increase Template Is

The Business Speed Increase Template is a structured, repeatable document designed to capture current process metrics, define target throughput improvements, and assign accountability for execution. It standardizes baseline measurements, improvement milestones, owners, resources, and checkpoints so teams can compare before/after results and document the steps required to reach measurable speed goals. The template is format-agnostic and intended for use in internal operations, vendor onboarding, contract workflows, or project launch packets; it can be completed electronically, retained for compliance, and signed using legally recognized eSignature methods under U.S. law.

Why organizations use a speed‑increase template

The template centralizes baseline data, target metrics, responsibilities, and timelines so improvements are monitored consistently across teams and projects.

Why organizations use a speed‑increase template

Who typically completes this template

Teams that own operational performance, procurement, or client onboarding usually prepare the template before a process change.

  • Operations managers and continuous improvement leads who track KPIs and run Kaizen or Lean initiatives.
  • Procurement or vendor managers coordinating onboarding milestones and acceptance criteria with external suppliers.
  • Project managers and program sponsors aligning cross-functional teams on target cycle-time reductions and deliverables.

Completed templates create a clear audit trail for decisions, funding requests, and later verification of achieved speed improvements.

Stepwise process to complete the template

Follow a straightforward sequence: collect data, define goals, assign owners, document actions, secure approvals, and track results.

  • 01
    1. Collect Data: Gather measured performance figures and supporting exports.
  • 02
    2. Define Goal: State the numeric improvement and deadline.
  • 03
    3. Assign Owners: Name accountable individuals and backup contacts.
  • 04
    4. Obtain Signatures: Have required approvers sign and date the template.

Configure the digital workflow

Set up routing, required fields, and authentication so signers receive the form in the correct order and data flows to your systems.

Field Configuration
Signature Order Sequential or parallel signer order as required.
Required Fields Mark baseline, target, owner, and signature fields required.
Authentication Choose email, SMS code, or stronger verification per risk level.
Integrations Map key fields to CRM or PM systems via API.

Typical signing and approval flow

A predictable flow reduces friction: upload, tag fields, route to signers, authenticate, and capture the signed record with an audit trail.

  • Upload: Add the template file and attachments.
  • Tag Fields: Place signature, date, and required inputs.
  • Route: Specify signer emails and order.
  • Audit: Store the signed PDF and completion log.

Delivery channels and technical needs

Choose delivery methods that match signer access and security expectations.

  • Email Links: Send secure signing links to each recipient.
  • Embedded Signing: Allow signing inside your application or portal.
  • API Integration: Automate routing and archiving via standard APIs.

Ensure chosen channels support the authentication level and retention requirements your organization and regulators require.

Key timing expectations for use and review

Set explicit due dates for measurement, approval, implementation, and post-implementation review to keep the improvement on schedule.

Baseline Data Due:

Submit baseline exports before the implementation start date.

Approval Deadline:

Approvers should sign within five business days of routing.

Implementation Start:

Begin changes on the agreed start date in the template.

90-Day Review:

Evaluate achieved speed improvements at 90 days.

Annual Audit:

Reconfirm targets and measurement methods yearly.

Milestones from baseline to verified improvement

A sequential milestone view helps stakeholders visualize the path from data capture to validated results.

01

Baseline Capture

Record current metrics and freeze the source data.

02

Approval and Sign-off

Obtain required management and stakeholder approvals.

03

Implementation Window

Execute the listed improvement actions and monitor progress.

04

Validation and Close

Compare post-change metrics and document final status.

Common preparation mistakes to avoid

  • Using inconsistent measurement periods, which produces noncomparable baselines and unreliable improvement calculations.
  • Leaving owner or escalation fields blank, causing delays when tasks stall or data questions arise mid‑implementation.
  • Defining vague actions without deliverables, resulting in partial execution and unclear verification criteria.
  • Failing to capture source data exports and timestamps, which weakens auditability and weakens post-change validation.

Real-world examples of template use

Examples show how organizations apply the template to accelerate onboarding and reduce cycle times while preserving compliance records.

Optica Ventures

Optica standardized baseline metrics across portfolio companies to compare leasing workflows.

  • The team tracked time to lease signature.
  • As COO Brian Fitzgibbons reported, a consistent template reduced ambiguity between teams and made performance comparisons actionable across investments.

Martin Properties

A small property firm used the template to shorten tenant onboarding and repairs scheduling.

  • The workflow removed paper handoffs.
  • Founder Tim Martin noted the template enabled remote approvals and consistent records, helping demonstrate compliance and reduce turnaround time.
