What a Business Story Template Is and When It Applies

A Business Story Template is a structured document that presents a company's mission, market problem, solution, traction, financial snapshot and funding or partnership ask in a concise narrative. It is used for investor pitches, internal planning, proposals, and partner introductions. The template standardizes language and metrics so recipients can compare opportunities quickly while preserving consistent disclosures and version history for legal or compliance review.

Why use a Business Story Template

A consistent template saves time, reduces errors in external communications, and makes due diligence faster by grouping essential facts and standardized metrics in one document. It helps ensure accuracy in claims that could affect contracts or securities disclosures under U.S. law.

Why use a Business Story Template

Teams and stakeholders that commonly use this template

Several roles rely on a Business Story Template to communicate the company narrative and evidence to external and internal audiences.

  • Founders and executive teams preparing investor decks or partner summaries.
  • Sales and BD teams creating consistent client-facing proposals and capability overviews.
  • Legal and finance teams verifying statements and assembling supporting exhibits for diligence.

Use the template to centralize inputs from finance, legal, sales and founders so the published story is consistent and auditable.

Core sections to include in a professional Business Story Template

A concise template balances narrative and verifiable metrics so readers can evaluate market fit, growth and risk quickly. Include clear labels for each section to aid review and redaction if needed.

Executive Summary

One-paragraph overview of mission, product, target market and the primary request or outcome sought from the reader.

Problem & Solution

Describe the customer problem and how the product or service solves it, including differentiators and evidence of product-market fit.

Market & Customers

Quantify market size, target segments, customer types, and representative logos or case examples where appropriate.

Business Model

Explain revenue drivers, pricing, gross margins and unit economics that underpin the financial story.

Traction & Metrics

Include current KPIs such as ARR, monthly active users, churn, growth rates and any validated customer commitments.

Financials & Ask

Provide recent financial summary, runway or budget impacts and a clear statement of the funding, contract or partnership request.

Essential data and record elements to track

Data Collected: Company name, address, EIN
Confidentiality Level: Mark as public, internal, or confidential
PHI or PII: Indicate if protected health or personal data present
Versioning: Track version number and change author
Signatures: Signer name, role, timestamp
Audit Trail: IP, timestamp, and action log

How to complete the Business Story Template, step by step

Follow these sequential steps to prepare a clean, auditable business story suitable for external review and eSignature if required.

  • 01
Gather data: Collect financials, KPIs, customer references and legal identifiers.
  • 02
Draft narrative: Write concise sections using plain language and consistent metrics.
  • 03
Verify facts: Have finance and legal confirm numbers and disclosures.
  • 04
Finalize and sign: Add signature blocks, dates, and execute via secure eSignature.

Configuring an online workflow for the template

Set up field-level controls, signer order and automation so the template routes correctly and produces a complete audit trail.

Field Configuration
Template Name Use clear naming for version control
Access Controls Restrict edit rights to finance and legal
Conditional Fields Show investor-specific fields only when applicable
Signature Authentication Require email plus SMS code or equivalent

Routing and submission flow for completed templates

A simple linear flow reduces signer confusion and preserves order of approvals.

  • Upload document: Add the final PDF or DOCX version.
  • Assign signers: Set signer roles and email addresses.
  • Send for signature: Dispatch in defined order or as parallel recipients.
  • Archive executed copy: Store signed version with audit metadata.

Technical considerations for eSigning and storage

Ensure your chosen platform supports required authentication, document formats and integration with storage or CRM systems before sending for signature.

  • File formats: PDF and DOCX accepted
  • Integrations: CRM and cloud storage connections
  • Authentication: Email, SMS code, or stronger

Confirm retention, export options and audit log accessibility for compliance purposes; consider a BAA if handling protected health information.

Typical timelines and processing expectations

Use these planning benchmarks to coordinate internal review, signature collection and distribution.

Draft circulation deadline:

Share draft at least 10 business days before stakeholder deadline

Internal review period:

Allow 3–5 business days for finance and legal review

External signature window:

Expect 24–72 hours for signers using eSignature

Document finalization:

Save executed version immediately after last signature

Archival timing:

Index and store within 1 business day of execution

Common mistakes to avoid when preparing the template

  • Using inconsistent metric definitions that confuse reviewers and lengthen diligence.
  • Missing or mismatched dates that create ambiguity about effective timing.
  • Omitting version control and contributor attribution for later disputes.
  • Attaching unverifiable claims or customer logos without documented permission.

Key legal and compliance risks to watch for

Misrepresentation: Potential civil claims or rescission
Inaccurate financials: Investor remedies and reputational harm
PHI mishandling: HIPAA penalties possible
Missing signatures: Enforceability may be impaired
Confidentiality breach: Contract damages and injunction risk
Retention failures: Regulatory fines or evidentiary loss
