What the Business STR Document Is

The Business STR Document is a standardized short-term rental agreement used by property managers and hosts to record terms for temporary occupancy of residential property. It defines parties, rental period, rates, security deposit, guest responsibilities, house rules, and damage or cleaning obligations. The form clarifies payment schedules, local tax collection obligations, cancellation and refund policies, and permitted uses of the premises. It is designed for digital completion and secure signature, and can be adapted to local rules and platform-specific booking requirements.

Why a Clear STR Agreement Matters

Use a Business STR Document to reduce disputes, document guest obligations, and standardize tax and safety disclosures. A clear, complete agreement supports local compliance, simplifies accounting, and provides evidence in contract or insurance disputes.

Why a Clear STR Agreement Matters

  • Individual hosts who need a clear rental contract, security deposit terms, and guest rules.
  • Accountants and legal advisors preparing tax-ready records, transient occupancy tax filings, and dispute evidence.

Common Pitfalls to Avoid When Preparing STR Agreements

  • Omitting local registration requirements leads to fines and forced delisting by municipalities; always verify city ordinances and include permit numbers when required.
  • Using vague cancellation language increases disputes; specify exact deadlines, prorated refunds, and how force majeure events are handled to reduce ambiguity.
  • Failing to collect accurate guest identification or tax information can create reporting errors and trigger local audits or backup withholding obligations.
  • Relying on paper-only signatures delays enforcement and complicates remote bookings; use electronic signatures with audit trails to maintain evidence.

Risks and Penalties for Incomplete or Noncompliant Documents

Municipal Fines: Civil penalties and permits revoked.
Tax Liability: Unpaid transient tax plus interest.
Contract Voidance: Ambiguous terms may be unenforceable.
Insurance Gaps: Claims denied without proper disclosure.
Legal Costs: Attorney fees and litigation expense.
Reputational Harm: Platform delisting and lost bookings.
