What a Business Targeted Review Is and how organizations use it

A Business Targeted Review is a structured assessment used to collect standardized information about a company, vendor, partner, or internal business unit for procurement, compliance, or executive decision-making. It typically captures legal identity, ownership, financial indicators, regulatory and insurance status, security posture, service terms, references, and any material exceptions. Organizations use the review to compare alternatives, document due diligence, support approval workflows, and create an auditable record. Deliverables may be a fillable PDF, spreadsheet, or online form with an audit trail and electronic signing capability.

Why a structured Business Targeted Review matters

Standardizing reviews reduces variability across business units, shortens time to decision, and produces a documented record for procurement, legal, and audit purposes. A concise template ensures reviewers capture the same facts, eases comparison of proposals, and supports regulatory or third‑party risk reporting without rekeying data.

Why a structured Business Targeted Review matters

Who typically completes and relies on a Business Targeted Review

Organizations running vendor selection, contract renewal, or third-party risk management processes rely on Business Targeted Reviews to gather consistent information.

  • Procurement teams compare commercial terms, service levels, pricing, and award criteria across suppliers to support selection.
  • Legal teams verify contractual terms, governing law, indemnities, and certificate requirements before approving contract language.
  • Risk and compliance officers validate regulatory status, insurance limits, data handling, and third-party security attestations.

Assign clear ownership — a procurement lead or compliance reviewer — and a single consolidated record to maintain auditability and reduce rework.

Typical reviewer roles

Procurement Lead

A procurement lead organizes the review, defines scoring criteria, collects vendor responses, and recommends an award. They coordinate commercial clarifications and ensure submitted documentation meets sourcing policies and internal thresholds for approval.

Compliance Officer

A compliance officer verifies regulatory requirements, insurance, sanctions screening, and data protection controls. They flag gaps, require remediations, and confirm whether the vendor must execute specific addenda or a business associate agreement.

Step-by-step: completing a Business Targeted Review

Follow a short, consistent sequence to collect data, validate evidence, and record approvals so the review is auditable and repeatable.

  • 01
Prepare: Select the template and define required fields and approval thresholds.
  • 02
Collect: Request documents, insurance certificates, and attestations from the respondent.
  • 03
Assess: Score responses against criteria and note exceptions or mitigations.
  • 04
Approve: Obtain required signatures, record the decision, and attach supporting evidence.

Essential components of an effective Business Targeted Review

A professional review template balances structured data fields with document attachments and an approval workflow so reviewers can evaluate compliance and commercial fit quickly.

Identity & Registration

Legal name, DBA, EIN or tax identifier, incorporation state, and registered agent details for contract and tax verification.

Financial Snapshot

High-level revenue band, recent audited statements or attestation, payment terms, and credit references to evaluate financial stability.

Regulatory & Insurance

Licenses, certifications, required industry registrations, and insurance limits with policy effective dates and certificate holders identified.

Security & Privacy

Security controls, data classification, breach notice procedures, and any required BAAs or data processing addenda for handling protected data.

Commercial Terms

Proposed pricing, service levels, termination rights, indemnities, limitation of liability, and warranty language summarized for contract negotiation.

References & Evidence

Customer references, sample contracts, SOC/Security reports, and attachments that substantiate claims made in the review.

Security and compliance checkpoints to record

Encryption: TLS 1.2/1.3 in transit; AES-256 at rest.
Certifications: SOC 2 Type II; ISO 27001 available.
HIPAA: BAA required when handling PHI.
Access Controls: Role-based access and SSO support.
Audit Trail: Time‑stamped logs and signer attribution.
Accessibility: WCAG 2.0 Level AA considerations.

Key risks and potential penalties from incomplete reviews

Tax Reporting: IRC §6721: $60–$660+ per incorrect form.
I‑9 Violations: Civil penalties $281–$2,789 per violation.
Contract Invalidity: Missing approvals may render agreements unenforceable.
Regulatory Fines: Industry regulators may impose fines for noncompliance.
Data Breach Liability: Inadequate controls increase breach exposure and costs.
Reputational Harm: Public incidents can affect customer trust and revenue.

Common errors that delay or invalidate reviews

  • Using inconsistent legal names or abbreviations that do not match government filings delays verification and may trigger reissuance.
  • Failing to attach required documentary evidence such as insurance certificates, SOC reports, or licenses causes incomplete assessments.
  • Allowing unsigned or improperly dated approvals undermines enforceability and complicates archival records for audits.
  • Weak signer authentication or missing consent disclosures for consumer‑facing forms can create legal risk under ESIGN and state law.

How submission and routing typically operates

A standard workflow routes the completed review through validation, technical assessment, legal review, and final approver steps while preserving a clear audit trail.

  • Submission: Sender uploads the form and attaches supporting documents.
  • Validation: Automated checks verify required fields and attachments.
  • Review: Assigned reviewers score and add comments or exceptions.
  • Approval: Final approver signs; system records the audit trail.

Configuring an online review workflow

Set up clear field validation, routing, reminders, and access controls so reviews proceed without manual handoffs or missing attachments.

Field | Configuration Name | Required; Date | MM/DD/YYYY
Authentication Method Email link | SMS OTP or SSO for added assurance
Field Validation Required fields, format checks, and Magic field detection
Routing Rules Conditional approvers based on score thresholds
Reminders Automated email reminders at set intervals

Technical delivery and integration considerations

Choose a platform that supports required integrations, document formats, and secure signer authentication to meet internal policy and regulatory needs.

  • Formats: PDF, DOCX, HTML, Excel supported
  • Integrations: Salesforce, NetSuite, Google Workspace, Microsoft 365
  • Authentication: Email, SMS OTP, SSO, optional KBA
