What a Business Text Link Is and How it Works

A Business Text Link is an SMS-delivered signing link that lets organizations share a document or signing session directly to a recipient's mobile device. The link routes the recipient to a hosted, mobile-optimized signing page where they can review, authenticate, and apply an electronic signature without needing to print, scan, or mail documents. The method preserves an audit trail of timestamps, IP addresses, and actions and can be combined with additional authentication (SMS code, knowledge-based questions, or multi-factor) to meet business or regulatory requirements.

Why use a Business Text Link for document signing

Business Text Links speed signature collection, reduce friction for mobile-first recipients, and retain detailed audit information required for legal reliance. When paired with compliant eSignature platforms and appropriate authentication, SMS links support ESIGN and UETA legal frameworks while reducing turnaround time for routine approvals, acknowledgements, and agreements.

Why use a Business Text Link for document signing

Who commonly sends or receives Business Text Links

Organizations with mobile-first customers or field personnel frequently use Business Text Links to accelerate signature capture and reduce paperwork.

  • Real estate agents and leasing teams sending rental agreements and disclosures to prospects on site.
  • Healthcare clinics and intake staff sending consent or intake forms to patients before appointments.
  • Field service and construction supervisors sending change orders or work confirmations to on-site contractors.

These links suit any scenario where the signer uses a mobile device and where a clear audit trail and electronic record retention are required.

Essential elements of a professional Business Text Link

A well-constructed Business Text Link bundles secure delivery with clear signing fields, authentication, and audit evidence to ensure reliability and legal defensibility.

Secure Delivery

Use TLS-encrypted SMS landing pages and short-lived links to reduce interception risk while ensuring the signing session begins over HTTPS.

Authentication

Add SMS one-time passcodes, email verification, or identity checks (KBA or verified ID) to strengthen signer attribution and meet industry-specific requirements.

Mobile-Ready Signing

Design signing pages for small screens: clear agreement text, large signature controls, tappable checkboxes, and an obvious completion confirmation.

Audit Trail

Capture timestamps, IP addresses, device metadata, delivered and opened SMS events, and a certificate of completion to support legal admissibility.

Tamper Protection

Apply tamper-evident seals, versioning, and cryptographic hashes where required to demonstrate the integrity of the signed record.

Retention Controls

Ensure automatic export, archival, and exportable PDF/A or DOCX copies to meet corporate policy and regulatory document-retention requirements.

Step-by-step: sending a Business Text Link

Follow these steps to prepare, deliver, and complete an SMS signing link while preserving a clear audit trail.

  • 01
Upload Document: Upload a PDF or DOCX version of the document to send.
  • 02
Place Fields: Add signature, initial, and date fields for each signer.
  • 03
Enter Recipient: Add the recipient's mobile number and optional email address.
  • 04
Send Link: Dispatch the SMS link and monitor delivery and open events.

How recipients complete a Business Text Link

The recipient path is optimized for mobile: receive, authenticate, sign, and receive a copy with audit metadata.

  • Receive SMS: User taps the secure link sent to their mobile device.
  • Authenticate: User confirms identity with the chosen method (SMS code, email, KBA).
  • Review Document: User reads the document on a mobile-friendly viewer before signing.
  • Sign and Confirm: User signs, completes, and receives a signed copy and completion certificate.

Technical and platform considerations for Business Text Links

Choose a platform that supports secure SMS delivery, robust audit logs, and configurable authentication.

  • Integrations: CRM and storage integrations (Salesforce, NetSuite, Google Drive) enable automated routing.
  • File Types: Support for PDF and DOCX is essential for fidelity of legal text.
  • Security: TLS transit and AES-256 at-rest encryption are minimum expectations.

Verify the platform supports your compliance needs (BAA for HIPAA, 21 CFR Part 11 for FDA) and can export audit logs and signed copies for records management.

Configuring a Business Text Link workflow

Set these workflow options to match your operational and compliance needs before sending links at scale.

Field Configuration
Authentication Method SMS code | email code | KBA
Link Expiration Set in days from send
Notification Settings Enable delivery and completion alerts
Storage Location Select document repository or email destination

Key timing considerations when using Business Text Links

Be aware of delivery windows, expiration settings, and statutory deadlines that affect when signatures must be obtained.

Link Expiration Window:

Choose an expiration to match transaction urgency and risk tolerance.

Delivery Retry Timing:

Set retries for undelivered SMS over 24–72 hours.

Regulatory Deadlines:

Match signing windows to statutory deadlines (tax, immigration filings, etc.).

Record Retention Start:

Retention often begins on the signature date.

Consumer Consent Timing:

Provide required ESIGN disclosures before electronic consent is obtained.

Common mistakes to avoid when using Business Text Links

  • Using unverified or mistyped phone numbers which prevents delivery and stalls transactions.
  • Failing to include an email fallback so recipients can access the document if SMS is blocked.
  • Applying weak or no authentication for regulated documents, exposing the organization to compliance risk.
  • Not retaining a verifiable audit trail or signed copy, which undermines enforceability in disputes.

1099 Filing Penalties: $60–$330 per form (IRC §6721)
I-9 Paperwork Fines: $281–$2,789 per violation (8 CFR §274a.2)
HIPAA Violations: Civil and monetary penalties may apply
Intentional Disregard: $660+ per form, no cap

Practical tips for accurate and efficient Business Text Link use

Follow these best practices to reduce errors, limit risk, and improve signer experience with SMS links.

Verify contact information
Confirm the recipient's mobile number and provide an email fallback to avoid delivery failures and delays in transaction completion.
Match authentication to risk
Use stronger verification for regulated or high-value transactions and lighter methods for low-risk acknowledgements.
Provide clear disclosure
Present ESIGN consumer disclosures before collecting consent and ensure recipients can access the electronic record format you provide.
Maintain consistent archives
Export signed PDFs and audit logs to a secure repository immediately after completion to meet retention policies and eDiscovery needs.

Downloading and saving completed Business Text Link documents

Signed records should be exportable in common, archival-friendly formats and include the audit trail for evidentiary purposes.

PDF/A Export

Save signed documents as PDF/A for long-term archival and to preserve signature integrity and visual fidelity across systems.

DOCX Backup

Keep a DOCX copy when future edits or data extraction are expected, while retaining the signed PDF as the authoritative record.

Audit Log

Download a machine-readable audit trail containing timestamps, IPs, delivered/opened events, and signer authentication details.

Long-term Storage

Store signed files in secure, access-controlled repositories (Box, Google Drive, or enterprise DMS) with versioning enabled.
