What the Business TIME Document covers

The Business TIME Document is a standardized time-recording form used by employers, contractors, and project managers to record hours worked, break times, overtime, and project-specific billing details. It serves as the primary source for payroll calculation, client invoices, and compliance reviews; accurate completion supports FLSA compliance, tax reporting, and internal audit trails.

Why a clear Business TIME Document matters

A correct Business TIME Document reduces payroll errors, supports accurate client billing, and creates an auditable record for wage-and-hour compliance under the Fair Labor Standards Act and related state laws. It also documents approvals and reductions in dispute risk for payroll and invoicing.

Why a clear Business TIME Document matters

Who normally completes and reviews this document

Typical users include payroll staff, project managers, hourly employees, and billing clerks who need a reliable record of time worked.

  • Payroll administrators who compile timesheets into pay runs and reconcile deductions and taxes.
  • Project managers who approve hours for client billing and verify project-level cost codes.
  • Employees and contractors who record start/stop times, breaks, and overtime for accurate compensation.

Each role has specific accuracy responsibilities: employees enter time, managers approve it, and payroll retains the record for statutory retention periods.

Core sections to include in a professional Business TIME Document

A robust timesheet groups data into clear sections so payroll and managers can validate entries quickly and consistently.

Employee ID

Unique identifier used for payroll linkage and to prevent ambiguous records; must match payroll system ID to avoid mismatches.

Pay Period

Clear start and end dates that determine the payroll cycle and when reported hours apply for tax and overtime calculations.

Daily Hours

Start/stop or total hours per day with break deductions; separates regular and overtime hours for correct wage computation.

Project Code

Project or cost center code that ties hours to client billing or internal cost allocation; inaccuracies can misroute invoices.

Approver

Manager name and signature (or e-sign) showing approval of recorded hours and authorization to release payment.

Notes

Free-text area for exceptions, leave, or adjustments; use to document reasons for missed punches or manual edits.

Step-by-step: filling out the Business TIME Document

Complete the form in order to reduce errors, and get manager approval before the payroll cutoff.

  • 01
Verify identity: Confirm employee name and ID match payroll.
  • 02
Enter pay period: Add start and end dates for the cycle.
  • 03
Record daily hours: Input start/stop or total hours and breaks.
  • 04
Obtain approval: Manager signs or e-signs before cutoff.

Typical digital workflow for timesheet submission

A consistent digital workflow reduces manual re-entry and creates an auditable trail for every submission.

  • Create template: HR or payroll sets a reusable timesheet template for the organization.
  • Employee fills: Worker completes fields and saves a draft if needed.
  • Manager reviews: Approver checks hours and edits if authorized.
  • Finalize record: Signed timesheet is stored and routed to payroll.

Recommended settings for online timesheet workflows

Configure the digital workflow to capture the right fields, approvals, and retention settings before scaling.

Field Configuration
Authentication Email link or SMS code; use stronger ID for high-risk roles
Approval order Employee → Manager → Payroll
Notifications Automatic reminders 48 and 24 hours before cutoff
Retention setting Auto-archive after payroll run with retention tag

Platform considerations for digital completion

Choose a platform that supports fillable PDFs, audit trails, and secure signer authentication to replace paper processes.

  • File formats: PDF, DOCX supported
  • Integrations: Payroll and HR systems
  • Security: Encryption and audit logs

Verify the platform integrates with your payroll provider and can produce a time-stamped audit trail for each approved timesheet.

Typical deadlines related to timesheets and reporting

Observe internal pay-period cutoffs and federal reporting deadlines to avoid payroll errors and late filings.

Payroll cutoff:

Internal deadline before pay run; varies by employer

W-2 distribution:

Employees must receive W-2 by Jan 31 (IRS requirement)

1099-NEC deadline:

Provide to recipients and file with IRS by Jan 31

Quarterly payroll tax:

File federal payroll tax deposits per IRS schedule

Record retention:

Keep payroll and timesheets per regulatory retention rules

Key processing milestones for a pay period

Map milestones to ensure approvals and payroll calculations complete on time.

01

Timesheet submission

Employees submit by pay-period cutoff.

02

Manager approval

Managers review and approve within 24–48 hours.

03

Payroll validation

Payroll reconciles totals and applies deductions.

04

Payment issuance

Finalized payments processed on pay date.

Common errors to avoid when preparing timesheets

  • Missing or inconsistent time formats cause manual corrections and payroll delays, especially when AM/PM and 24-hour entries are mixed.
  • Unapproved edits submitted after payroll cutoff lead to retroactive adjustments and reconciliation headaches for payroll accounting.
  • Incorrect project or cost codes misdirect billable hours and can cause client billing disputes or revenue leakage.
  • Mismatched names or employee IDs prevent automated imports into payroll, increasing manual rekeying and error risk.

Potential penalties and compliance risks

FLSA violations: Back pay and civil penalties
Payroll tax errors: Interest and IRS penalties
I-9 noncompliance: Civil fines per 8 CFR §274a.2
Recordkeeping failures: Penalties and audit exposure
Client disputes: Invoice adjustments and contract claims
Data breaches: Regulatory fines and remediation costs

Security and compliance items to include with the document

In transit: TLS 1.2/1.3
Audit trail: Time-stamped actions and IP
Access controls: Role-based permissions
BAA option: Available for HIPAA workflows
Certifications: SOC 2 Type II, ISO 27001

Practical tips for accurate and efficient timesheet completion

Adopt consistent conventions and automated checks to minimize downstream corrections and payroll exceptions.

Standardize time format
Require a single time format (either 24-hour or AM/PM) and validate entries before submission to reduce ambiguity and conversion errors during payroll processing.
Use project codes
Provide a maintained list of cost center or project codes and require selection from a dropdown to avoid manual reclassification and invoice mismatches.
Automate approvals
Configure automatic routing to the employee's manager and set reminders for pending approvals to ensure timely payroll cutoffs and reduce late adjustments.
Keep an audit trail
Ensure every change, approval, and submission captures a timestamp, actor identity, and reason to support dispute resolution and compliance audits.
