What the Business Travel Per Trip Letter Is and When It’s Used

A Business Travel Per Trip Letter is a short, signed document issued by an employer or authorized agent that confirms an employee’s authorized business travel for a specific trip. It typically names the traveler, travel dates, destination, purpose, and who will cover costs or provide reimbursement. Organizations use it for expense processing, visa or immigration support, audit substantiation, insurance claims, or to document business purpose for tax substantiation. In the United States the letter can be executed electronically under ESIGN and UETA where applicable, provided intent, consent, attribution, and retention are preserved.

Why a Per-Trip Letter Matters for Compliance and Accounting

A clear per-trip letter documents business purpose, supports expense reimbursement, and provides evidence for tax and visa inquiries. Properly completed letters reduce audit risk and streamline approvals; used alongside expense policy, they help enforce consistent recordkeeping and meet ESIGN/UETA legal standards for electronic execution.

Why a Per-Trip Letter Matters for Compliance and Accounting

Core Elements to Include in Every Per-Trip Letter

A concise, consistently formatted letter gives stakeholders the information they need to approve travel and process claims. Include identification, travel dates, business purpose, cost responsibility, authorization, and signature details to ensure clarity and legal sufficiency.

Trip ID

Assign a unique trip reference or file number to track approvals, expense reports, and any visa or insurance correspondence tied to this trip.

Traveler Details

Provide the full legal name, employee ID, job title, and department to match payroll and human resources records for expense reconciliation.

Travel Dates

List start and end dates in MM/DD/YYYY format and, where relevant, include time zones to avoid ambiguity for multi-leg or international travel.

Business Purpose

Describe the meeting, client, conference, or project objective concisely; tie the purpose to internal codes or purchase orders when available.

Cost Responsibility

State which party pays (company, client, traveler) and specify covered items (airfare, lodging, per diem, ground transport, incidentals).
