What the Business TRR Template Is and When to Use It

The Business TRR Template is a standardized Third-Party Risk Register used to record, evaluate, and track risks associated with vendors, contractors, and other external relationships. It consolidates identification details, risk ratings, control assessments, contract references, mitigation tasks, and review schedules into a single structured record. Organizations use the template to support procurement, compliance reviews, vendor onboarding, and audit readiness. The template is designed for repeatable use across engagements, enabling consistent risk scoring, remediation tracking, and periodic reassessment by risk, procurement, legal, and IT teams.

Why a TRR Template Adds Value for Business Operations

A Business TRR Template centralizes vendor risk data, reduces administrative overhead, and creates an auditable trail for decisions and remediation. It improves consistency in vendor assessments and helps prioritize limited resources against the highest risks.

Why a TRR Template Adds Value for Business Operations

Typical Teams That Complete or Rely on a Business TRR Template

Teams that commonly complete TRRs include procurement, risk/compliance, information security, and legal; internal audit and business unit owners rely on the outputs for oversight.

  • Procurement and vendor managers responsible for onboarding and contract terms.
  • Information security or IT assessing technical controls and access risks.
  • Legal and compliance assessing contract clauses, data protections and regulatory alignment.

Use the register as a living document: update ratings after audits, contract renewals, or material changes to the vendor relationship.

Core Sections to Include in a Professional Business TRR Template

A complete TRR groups vendor facts, risk scoring, contractual references, control evidence, remediation actions, and review timelines to support governance and auditability.

Vendor Profile

Legal entity name, DBA, tax ID, primary contact, physical and mailing addresses, and corporate status; use exact legal names to match contracts and tax records.

Services Provided

Concise description of goods or services, delivery model (cloud, on-premises), and any subcontracting; this frames which controls and laws apply to the relationship.

Risk Assessment

Standardized scoring across confidentiality, integrity, availability, regulatory impact, and business criticality; include rationale so scores are reproducible and defensible.

Controls & Evidence

Documented technical and organizational controls, required attestations (SOC 2, ISO 27001), and links to evidence or certificates supporting control claims.

Remediation Plan

Assigned tasks with owners, priority, due dates, and status fields to track corrective actions until closure and to record acceptance of residual risk.

Review & Approval

Signatory fields, periodic review cadence, and an approval log capturing reviewer name, role, date, and any conditional acceptance terms for audit purposes.

Required Data Elements at a Glance

Vendor Name: Exact legal name
Tax ID: EIN or SSN
Primary Contact: Name and role
Services Summary: Short description
Risk Rating: Numeric or category
Contract Ref: Document ID and date

Step-by-Step: Complete a Business TRR Template

Follow a uniform workflow to ensure completeness: gather documents, score risk, capture controls, assign remediation, secure approvals, and schedule reviews.

  • 01
Gather Inputs: Collect contract, SOC reports, questionnaires, and contact info.
  • 02
Perform Assessment: Apply risk matrix and document rationale.
  • 03
Assign Remediation: Create tasks with owners and due dates.
  • 04
Approve and Archive: Capture sign-off and set next review date.

How to Configure an Online TRR Workflow

Set up digital fields, routing, and authentication to mirror your internal review and approval flow for consistent handling and evidence capture.

Field Configuration
Vendor Profile Required fields; conditional display for subcontractors
Risk Scoring Calculated field using weighted criteria
Remediation Tasks Auto-assign to role-based groups
Approval Routing Sequential routing to legal, security, and procurement

Where to Send or File Completed TRRs

Designate a single repository and routing path to maintain control and ensure auditability. Typical destinations include GRC systems, contract repositories, and shared archives.

  • GRC Platform: Store master register and link to vendor record
  • Contract Repository: Attach TRR to contract index entry
  • Internal Sharepoint: Use controlled-access folders for team use
  • Audit Archive: Keep final signed version for audits

Digital Signing and Distribution Considerations

Ensure the platform supports secure e-signing, role-based routing, audit trails, and the file formats your systems use.

  • File Formats: PDF, DOCX
  • Authentication: Email, SMS code
  • Integrations: API, cloud storage

Typical Timelines and Review Deadlines for TRRs

Establish review cadences and key dates to keep vendor risk assessments current and to ensure remediation progresses on schedule.

Initial Onboarding Assessment:

Complete before contract execution or within 30 days of service start

High-Risk Remediation Due Date:

30–90 days depending on severity and contractual obligations

Periodic Reassessment:

Annually for medium risk; semi-annually for high risk

Ad-hoc Triggered Review:

Within 15 days after a material security incident

Contract Renewal Check:

Align reassessment with renewal timeline, typically 60–90 days prior

Common Mistakes When Preparing a TRR

  • Incomplete vendor identification: omitting the legal entity name or tax ID creates mismatches during audits and tax reporting.
  • Overly generic controls: listing vague controls without evidence makes assessments non-actionable and weak in audits.
  • Untracked remediation: failing to assign owners and due dates leads to remediation drift and unresolved high risks.
  • Stale risk scores: not updating scores after incidents or contract changes undermines prioritization and leaves exposure unmanaged.

Consequences of an Incorrect or Incomplete TRR

Regulatory Fines: Varies by statute
Contract Breach: Possible damages
Operational Disruption: Service outages
Reputational Harm: Customer loss
Audit Findings: Repeat deficiencies
Data Breach Costs: Significant remediation
