What the Business Use Case 2O Template Is and when to use it

The Business Use Case 2O Template is a structured document for documenting a single business use case, including objectives, scope, stakeholders, steps, success criteria and estimated costs. It standardizes how teams capture requirements and expected outcomes for process changes, feature requests, pilot projects, or vendor evaluations to support decision making and approvals.

Why a formal Business Use Case 2O Template matters

A consistent template reduces ambiguity, helps scope work clearly, and creates an auditable record for approvals and post‑implementation review. It aligns stakeholders on objectives and acceptance criteria so decisions and resource allocations are traceable.

Why a formal Business Use Case 2O Template matters

Who typically completes and uses this template

The Business Use Case 2O Template is used by cross‑functional teams to document proposed initiatives, evaluate impact, and request approvals from sponsors and approvers.

  • Project managers and product owners who need a concise scope and acceptance criteria for implementation or pilots.
  • Business analysts and process leads who gather requirements, map stakeholders, and estimate costs or benefits.
  • Legal, procurement, or compliance reviewers who verify obligations, governance, and any regulatory implications.

Completed templates serve as the formal input for budgeting, procurement, technical design, and compliance review throughout the project lifecycle.

Stepwise process to complete and approve the use case

Complete the template in stages so each reviewer sees a focused, verified package rather than a draft with missing inputs.

  • 01
Gather Inputs: Collect data, metrics, and stakeholder names before drafting.
  • 02
Draft Use Case: Populate title, objective, scope, steps, and costs.
  • 03
Review & Validate: Circulate to stakeholders for factual and technical verification.
  • 04
Approve and Archive: Obtain approver signatures and store final copy in records.

How a digital completion and routing workflow typically runs

A standard online workflow reduces handoffs and preserves an audit trail while routing the template to required reviewers and approvers.

  • Upload Template: Save the completed template to the signing platform or document repository.
  • Assign Reviewers: Add stakeholder emails and define signing order if required.
  • Route for Signature: Send signing invites or secure links to reviewers and approvers.
  • Finalize and Store: Capture signed copy and retain audit trail in the records system.

Common workflow settings for automated routing

Configure these fields when you set up the template in a document workflow system to ensure consistent processing.

Field Configuration
Signature Order Sequential | Signers act in a defined sequence
Authentication Email and SMS code | Two-factor verification for approvers
Template Expiry 30 days | Template link invalid after expiry
Reminder Schedule 3 days | Automatic reminders until signed

Digital and integration requirements to manage templates

Confirm platform compatibility, file formats, and integrations before starting large-scale distribution to avoid technical delays.

  • Integrations: Salesforce, NetSuite, Google Workspace
  • File formats: PDF, DOCX, HTML supported
  • Authentication: Email, SMS code, or SSO

Validate connectors (CRM, ERP, cloud storage) and test a full end‑to‑end flow from draft to signed record before rolling out to stakeholders.
