Common Preparation Pitfalls to Avoid

  • Incomplete cost details leading to underestimated budgets and delayed approvals when reviewers request clarifications; include itemized costs, assumptions, and vendor quotes to reduce follow-up cycles.
  • Vague success metrics that lack baselines or measurable KPIs impede post-implementation validation; define clear targets, measurement methods, and reporting owners in the template.
  • Missing approvals or improperly delegated signers can void approvals; confirm authority, include alternates, and record delegated approval rules within the governance section.
  • Neglecting regulatory or security requirements early can cause rework; list compliance needs, required attestations, and any HIPAA or data residency constraints in advance.

Risks and Potential Consequences

Contract Delay: Missed procurement windows
Budget Overrun: Unapproved expenditures
Regulatory Noncompliance: Potential fines or remediation
I-9 Documentation: Retention risk, fine exposure
HIPAA Exposure: Breach notification obligations
Audit Findings: Loss of trust and penalties
