What the Business Use Case Hydra Document Is and when it's used

The Business Use Case Hydra Document is a structured template used to record a business scenario, objectives, stakeholders, success criteria, and required workflows for a specific project or transaction. It combines narrative use-case description with discrete fields for scope, timelines, risks, dependencies, and signatory authority so decision-makers can approve or reject the proposal. In U.S. contexts the template must align with applicable signature and record rules such as the ESIGN Act (15 U.S.C. ch. 96) and UETA when executed electronically, and it is commonly integrated into procurement, compliance, and project intake processes.

Why a clear Business Use Case Hydra Document matters

A well-prepared Business Use Case Hydra Document clarifies scope, reduces approval friction, and creates an auditable record of decisions and responsibilities. It helps legal, finance, and operations evaluate risk and cost using consistent fields, enabling faster, documented approvals while preserving evidentiary detail for compliance and audits.

Why a clear Business Use Case Hydra Document matters

Who prepares and who signs the Business Use Case Hydra Document

Teams across functions prepare this document; signatures come from authorized approvers to bind the organization.

  • Project managers and business analysts who document scope, deliverables, and timelines for review and handoff.
  • Finance or procurement staff who validate cost, budget coding, and vendor selection before approval.
  • Legal and compliance reviewers who check contract terms, data handling, and regulatory obligations prior to signature.

Use the organization’s delegation of authority to identify signers and confirm whether countersignatures, witnesses, or notarization are required.

How digital execution and routing typically work

Digital workflows streamline distribution, signature capture, and retention while preserving an audit trail for compliance.

  • Upload: Sender uploads the completed document as PDF or DOCX.
  • Place Fields: Sender positions signature and data fields for each party.
  • Authenticate: Signers receive link and authenticate by email, SMS, or stronger method if required.
  • Capture Audit: System records timestamps, IP addresses, and a completion certificate.

Typical configuration options for an electronic approval workflow

Configure these settings in your eSignature platform to match organizational policy and signer expectations.

Field Configuration
Signing Order Sequential or parallel routing
Authentication Level Email only, SMS code, or knowledge-based verification
Reminders Auto-reminders and escalation rules
Retention Policy Automatic archival and access controls

Technology and integration considerations

Check platform compatibility with existing systems and regulatory needs before digitizing approvals.

  • Integrations: Salesforce, NetSuite, or Google Workspace
  • File Formats: PDF, DOCX, XLSX
  • Authentication: Email, SMS, SAML SSO

Ensure the chosen configuration supports audit trails, role-based access, and any required data residency or BAA arrangements.

Key timing rules and common submission deadlines to track

Track these deadlines when the business use case triggers tax reporting, payroll, or government filings.

W-9 / TIN Requests:

Verify signatory authority
Confirm each approver’s delegated authority and include job title and signature block to prevent post-signature challenges to validity.
Attach required exhibits
Include cost worksheets, vendor quotes, and security assessments as appendices so reviewers have the factual basis they need without separate requests.
Document authentication choices
Record the chosen signer authentication method (email, SMS, KBA) in the workflow and retention record to support later evidentiary needs.
