What the Business Use Management Document Covers

The Business Use Management Document records permissions, responsibilities, and approved uses of company assets, systems, or facilities for business purposes. It establishes who may access resources, under what conditions, and any required approvals, controls, or tracking measures. Organizations use it to standardize permitted use, reduce unauthorized access, and document accountability for audits and compliance reviews. The document can apply to software, hardware, vehicles, data sets, or office spaces and usually accompanies policy statements, access requests, and manager approvals.

Why a Clear Business Use Policy Matters

A documented business use framework reduces operational risk, supports consistent approvals, and creates an auditable record for compliance, internal controls, and incident response.

Why a Clear Business Use Policy Matters

Who Typically Completes This Document

Different roles create or review these documents depending on organizational structure and governance needs.

  • IT administrators and system owners responsible for access control and configuration approvals.
  • Human resources and facilities managers when the document governs employee equipment or workspace use.
  • Procurement and legal teams for vendor access, contracted services, and third-party equipment provisioning.

Distribution and approval flows usually include the requester, the manager, and an authorizing officer to ensure accountability.
