What the Business Use UI19 Is and when it applies

The Business Use UI19 is a standardized form used to document authorization and permitted commercial uses of business assets, data, or services. It records parties, the scope of permitted business activities, effective dates, any limits or exclusions, and signature blocks for authorized representatives. Organizations use the UI19 when granting temporary or ongoing usage rights to vendors, contractors, or partners and when documenting internal approvals that must be auditable for compliance, procurement, or contracting records.

Why maintaining a clear Business Use UI19 matters

A clear UI19 defines permitted uses, reduces disputes, and supports compliance with laws and internal policy. It creates an auditable record of who authorized which business activities and when.

Who typically completes and signs a Business Use UI19

Tailor the signatory list to organizational delegation rules and any industry-specific authority requirements; ensure delegates are listed or referenced in corporate resolution documents.

  • Procurement teams and sourcing managers responsible for vendor access and contract terms.
  • Legal or compliance teams verifying permitted use, restrictions, and regulatory conditions.
  • Authorized business representatives (CRO, COO, department heads) who can bind the organization.

Compliance

Reference applicable legal or policy requirements (HIPAA, FERPA, export controls) and responsibilities for compliance.

Signatures
