What the Business Vehicle Tracking Form Is and When it’s Used

The Business Vehicle Tracking Form is a standardized record used by organizations to document business use of company-owned or reimbursed vehicles, including mileage, purpose of trip, driver identity, vehicle identification, and dates. It creates an auditable log for expense reimbursement, tax substantiation, fleet management, and safety reporting. Employers commonly use the form to support mileage reimbursements under IRS rules, to enforce company vehicle policies, and to provide a historical record for insurance or incident investigations. The form can be maintained on paper or as a secure electronic record; when executed electronically it should meet ESIGN and UETA requirements for legal effect.

Why a Formal Vehicle Tracking Form Matters for Your Business

A consistent Business Vehicle Tracking Form supports accurate reimbursement, tax compliance, insurance claims, and fleet oversight while reducing disputes over mileage and usage.

Why a Formal Vehicle Tracking Form Matters for Your Business

Who Typically Completes and Reviews This Form

Employers, fleet managers, drivers, payroll staff, and accountants each play a role in completing or approving the Business Vehicle Tracking Form.

  • Drivers submit trip details, start/end odometer, times, and purpose for each business trip.
  • Fleet managers validate vehicle assignment, schedule maintenance, and reconcile aggregate mileage.
  • Payroll or finance staff approve reimbursements, compare logs to policy, and retain records for audits.

Clear role separation reduces errors and ensures the form meets reimbursement, tax reporting, and insurance documentation requirements.

Responsible for assigning vehicles, reviewing logs for consistency, and verifying that submitted mileage aligns with maintenance records and policy. The manager typically signs or approves monthly summaries for finance.

Authorized Driver
