What the Business Verbal Process Document Is

A Business Verbal Process Document records agreed-upon verbal instructions, approvals, or workflow decisions made during calls or meetings and converts them into a written, auditable record. It captures who said what, the effective date and time, the business context, and any required follow-up actions so that verbal commitments are reproducible and enforceable for operational, compliance, and audit purposes.

Why documenting verbal agreements matters for business operations

A formal Business Verbal Process Document reduces ambiguity, enables consistent follow-up, supports regulatory compliance, and creates an evidentiary record for later disputes, audits, or performance tracking.

Why documenting verbal agreements matters for business operations

Who typically completes and relies on this document

Use of a consistent template ensures each verbal event is captured with the same minimum data points, reducing operational risk and rework.

  • Customer success and account managers who confirm scope changes or renewals during calls.
  • Project managers documenting verbal change orders and milestone approvals.
  • Compliance officers and internal audit teams tracking verbal authorizations for regulated activities.

Roles who sign or authorize the record

Authorized Signer

A person with delegated authority (title or board resolution) who confirms the accuracy of the verbal summary and signs the document; their validation associates intent and attribution for legal and audit purposes.

Recorder / Preparer

An employee or third-party service that transcribes the verbal event into the formal document, including timestamps, participant names, summary of instructions, and any attachments or corroborating evidence.

Essential sections to include in the Business Verbal Process Document

A professionally prepared document follows a consistent structure so readers can verify intent, timing, and the actions required without listening to the original recording.
