What a Business Visit Request Is and When It Applies

A Business Visit Request is a written record submitted by an individual or organization to request permission to enter company premises, access restricted areas, or meet with staff. It records visitor identity, purpose, requested date and time, duration, host contact, and any safety or confidentiality requirements the host may impose. Organizations use formal requests to manage building security, prepare escorts or access badges, and document compliance with workplace safety, export-control, or privacy policies. The document can be paper or electronic and is often integrated with visitor management workflows.

Why a Formal Request Matters

A clear Business Visit Request reduces security risks, documents approvals, and supports compliance with corporate policies and applicable laws. Using a standard form simplifies scheduling, clarifies responsibilities, and creates an auditable record of authorized access.

Why a Formal Request Matters

Who typically prepares and approves these requests

Common requestors and approvers include external contractors, vendors, clients, employees arranging guest meetings, and host department managers.

  • Facilities and Security teams vet access and badge issuance for visitors and contractors.
  • Department hosts request and approve visits for clients, partners, and auditors.
  • HR or Compliance may review requests involving personnel files, sensitive operations, or regulated environments.

Maintain a copy of the approved request for the visit date and retain it per company recordkeeping policies.

Step-by-step: Submitting a Business Visit Request

Complete the form, attach required documents, route for approval, confirm security checks, and record the approval before arrival.

  • 01
Fill form: Enter all required fields and attach ID or COI if requested.
  • 02
Submit: Send to host and campus security for review.
  • 03
Approve: Host and security confirm and add access instructions.
  • 04
Record: Issue badge instructions and retain approval log for the visit.

Routing and submission workflow for a typical request

Most organizations follow a short approval chain and capture an audit trail showing who submitted, reviewed, and approved the visit.

  • Submit to Host: Host receives request and confirms agenda and required credentials.
  • Security Review: Security verifies identity, badges, and background checks if required.
  • Access Issued: Temporary badge or escort instructions are created and communicated.
  • Log Retained: Approval record stored for the duration required by policy.

Configuring an online approval workflow

A streamlined electronic workflow reduces manual handoffs and stores an auditable trail of each approval step.

Field Configuration
Approval Order Host → Security → Facilities
Conditional Rules Require background check if contractor or restricted area
Notifications Email and SMS to host and visitor
Attachments Allow ID, COI, NDAs as required uploads

Technical considerations for eSubmission and signing

Choose a platform that supports fillable PDFs, mobile signing, secure storage, and common integrations for scheduling and access control.

  • File formats: PDF, DOCX supported for upload and signing
  • Integrations: Connectors for Google Workspace, Microsoft 365, Salesforce, and HR/ERP systems
  • Security: TLS in transit and AES-256 at rest

Essential elements to include on a professional request form

A complete Business Visit Request collects identity, purpose, scheduling, access needs, approvals, and any special handling instructions to reduce on-site friction and support auditing.

Visitor identity

Full legal name, date of birth or ID number when required, and organization to match security screening records and badge issuance.

Visit details

Exact date, start and end times, meeting location, and expected duration so the host and facilities can prepare.

Purpose and agenda

Concise purpose, attendees, and whether access to restricted areas or equipment will be required during the visit.

Approvals

Host approval, security sign-off, and any compliance review required for sensitive operations or confidential information access.

Attachments

ID, certificate of insurance, non-disclosure agreement, or permit documents uploaded with the request when applicable.

Special instructions

Safety requirements, PPE needs, escorting instructions, parking, and badge pickup location documented for the visitor.

File exports, supporting documents, and record types

Provide multiple export formats and attach supporting documents so approvals and audit records are preserved in business systems and archives.

Export formats

Save completed requests as PDF/A for long-term retention, and export CSV or Excel for batch reporting and record imports.

Signed records

Store a signed copy with an audit trail showing timestamps, signer identity, IP address, and approval sequence for compliance reviews.

Supporting docs

Attach government ID scans, certificates of insurance, NDAs, or permits so all required credentials travel with the request.

Retention exports

Regularly export or archive completed requests to corporate records management to meet retention schedules and legal holds.

Common mistakes that delay approvals

  • Incomplete visitor names or mismatched ID that prevents security verification and badge issuance.
  • Vague visit purpose that requires follow-up clarifications from the host or compliance team.
  • Missing attachments such as insurance certificates or NDAs when required for contractors.
  • Submitting the request too close to the visit date, limiting the time for background checks or approvals.

Risks and consequences of improper visit handling

Security breach: Unauthorized access can expose trade secrets or personal data, increasing legal and reputational risk.
Regulatory violations: Failure to document access to regulated facilities can lead to compliance findings in audits.
Contractor liability: Allowing uninsured contractors on-site without COI may expose the company to liability for injuries or damage.
Data exposure: Uncontrolled access to systems or documents can trigger data breach response obligations under state breach laws.
Operational disruption: Unexpected visitors in sensitive areas can halt production, inspections, or testing activities.
Recordkeeping failures: Poorly retained approvals can complicate incident investigations and legal discovery.
