What a Business Working Request Is and when it’s used

A Business Working Request is a formal internal or external document used to authorize, describe, and budget business work or services. It typically identifies scope, deliverables, estimated cost, schedule, responsible parties, and required approvals so teams can assign resources and start vendor or internal work. The form serves as the initiation record for procurement, project execution, and accounting, and is commonly integrated into procurement, project management, or contracting workflows where an auditable approval trail is required. Electronic signatures and attachments are often included to speed approvals and preserve records.

Why standardizing a Business Working Request matters

A consistent request form reduces ambiguity, speeds approvals, and creates a single record for budget and compliance reviews.

Why standardizing a Business Working Request matters

Who typically completes or approves a Business Working Request

Different roles interact with the request at distinct stages — creation, review, approval, and execution.

  • Procurement Managers — Create and validate vendor details; compare quotes and confirm budget availability before routing.
  • Project Managers — Define scope, milestones, and acceptance criteria; track delivery and sign off on completion.
  • Finance / Budget Holders — Confirm funding, allocate ledger codes, and approve or reject based on financial controls.

Assign clear responsibilities to each role to reduce bottlenecks and ensure the request advances through approvals predictably.

Step-by-step: Completing a Business Working Request

Follow these sequential steps to prepare a complete request that can be approved and executed without rework.

  • 01
Gather Details: Collect scope, deliverables, budget, and vendor contact information before drafting.
  • 02
Fill Form: Enter requested fields fully, attach supporting files, and confirm dates and amounts.
  • 03
Route for Approval: Send to the defined approvers in the specified routing order with required authentication.
  • 04
Archive Record: Store the final signed request and attachments in the project repository or financial system.

Configuring an online approval workflow for the request

Define routing, authentication, and storage to ensure approvals and records meet internal controls and compliance.

Field Configuration
Routing Order Sequential or parallel approvers; specify role-based sequence.
Signer Roles Requester, Approver, Finance approver, Vendor signatory.
Authentication Method Email link, SMS code, or stronger KBA as required.
Storage Location Designate cloud repository or ERP folder for final record.

How a completed Business Working Request moves through systems

Typical integration steps show how the form progresses from submission to archival with traceable handoffs.

  • Upload: Submit the completed request form and attach estimates or proposals.
  • Place Fields: Add signature, initials, date, and conditional fields for approvals.
  • Send/Route: Notify approvers with authentication and signing instructions.
  • Archive: Save signed copy and audit trail to the designated records location.

Technical considerations for digital submission and signature

Confirm file formats, integrations, and authentication options before sending the request electronically.

  • File Formats: PDF, DOCX, and XLSX supported.
  • Integrations: Salesforce, NetSuite, Google Workspace integrations available.
  • Authentication: Email, SMS code, or advanced KBA options.

Typical timelines and internal deadlines to expect

Set internal deadlines so approvers and vendors understand SLAs and start dates for the requested work.

Submission Lead Time:

Submit at least 5 business days before planned start to allow procurement review.

Approval SLA:

Expect 3–7 business days for internal approvals depending on routing complexity.

Vendor Start Date:

Work typically begins after final signature and receipt of any required purchase order.

Payment Terms:

Vendor payment often follows approved invoice terms such as Net 30.

Document Access:

Signed requests remain accessible to stakeholders for the document retention period.

Key milestones from request to work start

A concise milestone sequence helps project owners track progress and identify approval bottlenecks.

01

Request Submitted

Requester completes form and attaches required documentation for review.

02

Compliance & Budget Review

Finance and legal verify budget, vendor risk, and policy compliance.

03

Approvals Secured

Authorized signatories sign the request and any contract exhibits.

04

Work Commences

Vendor or internal team begins work per agreed start date.

Common preparation mistakes to avoid

  • Submitting incomplete scope or ambiguous acceptance criteria leads to change orders and disputes and delays project start.
  • Omitting required attachments such as vendor quotes or certificates of insurance often stops approval until documents are provided.
  • Using an incorrect signatory delays execution; check authority limits and the corporate signature policy before sending.
  • Entering an informal or estimated budget without marking it 'estimate' can result in unexpected procurement rework.

Consequences of errors or missing approvals

Delayed Delivery: Project start dates slip, causing schedule and cost impacts.
Payment Disputes: Invoices may be rejected or withheld until documentation is fixed.
Contract Risk: Unsigned or improperly signed requests reduce enforceability.
Compliance Exposure: Regulatory obligations could be unmet if records are incomplete.
Audit Findings: Insufficient records can trigger negative audit outcomes.
Vendor Relationship: Repeated rework damages trust and increases procurement friction.
