What a Business Written Request Is and When to Use It

A Business Written Request is a formal, documented communication used by organizations to ask another party for information, documents, approvals, or action tied to a business process. Common uses include vendor information requests, contract clarifications, records retrieval, invoice disputes, and compliance-related evidence requests. The document sets expectations by specifying the requested items, a deadline, the contact responsible for responding, and any legal or confidentiality notes. In the United States such requests may be delivered on paper or electronically; when sent electronically they should meet ESIGN/UETA standards to ensure validity and reliable audit records for future reference.

Why a Clear Written Request Matters

A concise Business Written Request reduces ambiguity, speeds responses, and creates an auditable record of what was asked and when. Clear structure improves compliance, supports dispute resolution, and documents chain of custody for requested materials.

Why a Clear Written Request Matters

Who Prepares and Responds to These Requests

Organizations of all sizes use Business Written Requests where documented evidence or formal authorization is required.

  • Legal and compliance teams drafting precise scope and legal basis for requests.
  • Procurement and accounts payable departments requesting invoices, contracts, or delivery records.
  • External vendors and partners supplying the requested documents and confirmations.

Internal teams, external vendors, regulated counterparties, and legal or compliance officers routinely draft, review, and respond to these requests.

Typical Responsible Roles

Alice Carter, CFO

Often serves as the authorized signatory for financial information requests. Works with legal and accounting to ensure the request cites applicable statutes and includes required confidentiality language. Responsible for tracking receipt and retention.

Marcus Reed, Compliance Director

Drafts requests for regulated records and confirms the request method meets ESIGN/UETA requirements. Coordinates authentication, redaction, and retention to ensure regulatory compliance.

Frequent Preparation Mistakes to Avoid

  • Vague scope descriptions that leave recipients uncertain which records to produce and increase follow-up cycles and delays.
  • Unclear deadlines or missing time zones that lead to missed response dates and potential contractual disputes.
  • Failing to specify authentication or notarization requirements, causing returned or noncompliant responses and rework.
  • Not including required authorizations or consents for protected data, which can delay production and create legal exposure.
