What the CareFlight Business Agreement Is

The CareFlight Business Agreement is a standardized contract used by air medical transport providers, healthcare facilities, and corporate partners to define commercial terms, operational responsibilities, pricing, and liability for emergency and non-emergency air transport services. It documents scope of services, payment terms, insurance and indemnity provisions, patient transfer protocols, regulatory compliance obligations, and termination rights. The agreement also allocates risk between parties, identifies authorized signatories, and establishes notice procedures. It can be executed in writing or electronically where ESIGN/UETA permit.

Why a Clear Agreement Matters

A clear CareFlight Business Agreement reduces operational ambiguity, sets billing and insurance expectations, and protects parties through defined indemnity, compliance, and termination clauses. It supports regulatory adherence and can simplify dispute resolution by documenting agreed processes and remedies.

Why a Clear Agreement Matters

Who Typically Prepares and Signs This Agreement

Hospitals, healthcare systems, air ambulance operators, insurers, and corporate partners commonly prepare or review CareFlight Business Agreements.

  • Air ambulance operators: contract management, operational protocols, insurance and indemnity obligations.
  • Hospitals and clinics: patient transfer procedures, billing arrangements, and data sharing requirements.
  • Corporate clients and insurers: payment terms, service levels, dispute resolution, and compliance verification.

Legal, procurement, operations, and clinical leadership should confirm compliance, insurance limits, and signature authority before final execution.

Practical Practices to Reduce Risk and Speed Processing

Practical tips to reduce errors, speed approvals, and maintain compliance when using the CareFlight Business Agreement.

Confirm signatory authority and corporate resolutions

Keep insurance certificates current and verified
Require proof of primary insurance and additional insured endorsements where applicable; verify policy effective and expiration dates prior to accepting services. Record certificate numbers and contact insurers for confirmation when exposure is material.
Standardize billing codes and invoices
Agree on standardized procedure and billing codes in advance, require itemized invoices referencing mission dates and patient identifiers, and set clear timelines for submission and dispute resolution to avoid delayed reimbursements.
Document retention and audit readiness
Maintain signed agreements, invoices, PHI disclosures, and audit trails for the duration required by federal standards (IRS, HIPAA) and applicable state laws; organize records for quick retrieval during audits or payer inquiries.
