What a Carpet Selection Agreement Covers

A Carpet Selection Agreement documents the buyer's material, color, pile, and installation choices for a carpet purchase or remodel and records any allowances, lead times, and acceptance criteria. It clarifies responsibilities for ordering, delivery, site readiness, and acceptance testing to reduce disputes. The agreement is commonly appended to purchase orders, remodel contracts, or change orders and becomes part of the governing contract between property owner and vendor. Use this form to create a clear, auditable record of selections and to limit ambiguity before manufacturing or installation begins.

Why documenting carpet selections matters

A clear Carpet Selection Agreement reduces rework, prevents misunderstandings about product specifications and delivery timing, and creates an auditable record for change orders and warranty claims.

Why documenting carpet selections matters

Who typically completes a Carpet Selection Agreement

Parties fill this agreement to record decisions and assign responsibilities before production or installation begins.

  • Property owners and facility managers responsible for final approvals and payment terms.
  • General contractors or project managers who coordinate ordering, scheduling, and site readiness.
  • Flooring vendors and designers who specify materials, colors, backing, and installation method.

Use by these groups creates a single source of truth for specifications, reduces change-order disputes, and clarifies warranty coverage.

Stepwise process to complete and confirm selections

Follow these steps to move from selection to order confirmation and installation readiness.

  • 01
Choose Product: Select SKU, color, backing, and pile height.
  • 02
Confirm Quantities: Calculate area and add waste allowance.
  • 03
Record Delivery: Note lead times and shipping method.
  • 04
Approve Install: Sign off on install date and site prep responsibilities.

Essential elements in a professional Carpet Selection Agreement

Include these six components to make the agreement enforceable, clear, and useful for procurement, installation, and warranty purposes.

Identification

Clear identification of buyer, vendor, installer, project address, and purchase order number so all parties and invoices match one contract reference.

Product Details

Detailed product description including SKU, color name, dye lot, backing type, roll width, and face weight so manufacturer and installer order correct materials.

Quantity & Waste

Precise quantity measured in square or linear yards, plus any agreed waste allowance and how overages/shortages will be resolved or priced.

Lead Time & Delivery

Manufacturer lead times, delivery windows, freight terms, and site delivery instructions to coordinate installation and avoid storage charges.

Site Readiness

Specifications for the condition of the subfloor, HVAC settings, and access to ensure correct installation and to allocate responsibility for delays.

Acceptance & Warranty

Inspection, acceptance criteria, punch-list procedures, and warranty coverage including start date and any exclusions for improper site conditions.

Administrative data points to include

Contract Date: MM/DD/YYYY
Project Address: Full street address
PO Number: Alphanumeric PO
Installer Name: Firm or individual
Warranty Term: Months or years
Payment Terms: Net terms or milestone

Common legal and contractual risks to track

Incorrect Product: Replacement cost and delay
Inspection Failure: Rework and labor charges
Late Delivery: Project schedule impact
Unclear Acceptance: Dispute over workmanship
Warranty Gaps: Coverage disputes
Missing PO: Payment delays

Practical pitfalls people encounter

  • Failing to record dye-lot or backing changes can require costly replacement of large sections of carpet.
  • Using vague descriptions like 'similar color' invites substitution and increases the risk of rejection at install.
  • Not confirming manufacturer lead times often causes storage fees or missed installation windows on renovation schedules.
  • Neglecting to document site readiness responsibilities routinely leads to install-day delays and disputes over labor costs.

How digital completion and routing typically works

A common e-signature workflow saves time and creates an audit trail from selection to final approval.

  • Upload Document: Sender uploads the selection form to the platform.
  • Place Fields: Add signature, date, and product fields.
  • Send for Signature: Email or link is sent to parties.
  • Capture Audit Trail: Platform records timestamps and IP addresses.
