What a Catering Request for Quotation Is

A Catering Request for Quotation (RFQ) is a structured procurement document used by an organization to solicit fixed-price offers from caterers for a specific event or series of events. It defines event scope, menu options, service levels, delivery and setup requirements, quantities, venue constraints, and evaluation criteria so suppliers can provide comparable quotes. The RFQ focuses on price and baseline specifications rather than negotiated contract terms and commonly precedes award of a purchase order or services agreement.

Why Use a Catering Request for Quotation

An RFQ standardizes supplier responses, speeds vendor comparison, and reduces ambiguity about quantities and service levels. It helps buyers evaluate price alongside requirements such as insurance, food-safety compliance, and delivery timing to make award decisions with documented justification.

Why Use a Catering Request for Quotation

Who Prepares and Responds to a Catering RFQ

Typical stakeholders include procurement or event managers issuing the RFQ, facilities staff coordinating venue logistics, and catering vendors preparing price quotations.

  • Procurement teams and event planners who require competitive pricing and consistent service terms from multiple caterers.
  • Facilities or hospitality managers responsible for site access, setup, and health-safety coordination with chosen vendors.
  • Catering businesses and contract caterers preparing itemized quotes, delivery logistics, and certificates of insurance.

Clear roles reduce delays: assign a single RFQ contact, set a firm submission deadline, and state who will evaluate and sign the award.

Authorized Signers and Stakeholders

Procurement Manager

Typically the issuing official who approves the RFQ content, evaluates bids against criteria, and issues the purchase order or contract. They coordinate internal stakeholders, confirm budget availability, and sign award documents.

Event Caterer

An authorized representative of the vendor who prepares and signs the quotation, confirms insurance and food-safety credentials, and accepts delivery and service terms on behalf of their company.

Essential Information to Include in the RFQ

Buyer Details: Organization name, address, contact info
Event Details: Date, start/end times, venue
Guest Count: Estimated headcount and growth allowance
Menu Requirements: Dietary restrictions and service style
Service Scope: Delivery, setup, staffing, cleanup
Certificates: Insurance, food-safety permits required

Common Preparation Errors to Avoid

  • Unclear headcount or optional attendee ranges causing inconsistent pricing and last-minute disputes at invoice time.
  • Omitting certificate and licensing requirements, which can disqualify responsive vendors during evaluation and delay award.
  • Failing to define service windows and access instructions, leading to delivery or setup failures and potential venue fines.
  • Asking for open-ended pricing (e.g., 'market rates') rather than fixed unit prices, making apples-to-apples comparison impossible.

Step-by-Step: Completing the Catering RFQ

Follow a clear sequence from scope definition through award to ensure timely responses and compliant selection.

  • 01
Define Scope: Detail event, menu types, quantities, and services required.
  • 02
Set Deadlines: Publish question cutoff, submission deadline, and expected award date.
  • 03
Publish RFQ: Distribute to vendors via email or procurement portal.
  • 04
Evaluate Bids: Score quotes against price, compliance, and service criteria.

How to Customize and Issue the RFQ Online

Configure an online workflow to collect structured bids, automate reminders, and capture audit trails for procurement records.

Field Configuration
Platform Select a document platform supporting PDF and DOCX uploads
Authentication Email verification, optional SMS or higher assurance
Templates Use reusable RFQ templates with conditional fields
Notifications Auto-reminders for questions and submission deadlines

Where and How to Submit or Send Quotes

Clarify acceptable submission channels and a single submission point to avoid lost responses and to maintain a verifiable record.

  • Email Submission: Provide a dedicated RFQ email and require subject-line format for tracking.
  • Procurement Portal: Allow secure uploads to a vendor portal with timestamped receipts.
  • In-Person Delivery: Specify delivery address, office hours, and a stamped receipt process.
  • Postal Mail: Accept when required; note postmark deadlines explicitly.

Digital Submission and eSignature Overview

Use a platform that preserves document integrity, supports common file formats, and produces an audit trail for each vendor submission.

  • File Formats: Accept PDF and DOCX; require locked PDFs for final quotations.
  • Authentication: Email link or SMS code prevents anonymous submissions.
  • Audit Trail: Capture IP, timestamp, and signer actions for compliance

Where regulatory sensitivity exists (e.g., healthcare or government procurement), select a platform with relevant certifications and retain signed records according to policy.

Typical RFQ Timeline and Submission Deadlines

Establish and publish fixed dates for all stages to ensure fair vendor participation and timely award.

Core Components of a Professional Catering RFQ

A complete RFQ includes technical and commercial sections to enable fair evaluation and enforceable award.

Scope of Services

Describe event type, schedule, venue constraints, number of service points, and expectations for staging, staffing, and cleanup so vendors price labor and logistics accurately.

Pricing Breakdown

Request fixed unit prices for menu items, per-person catering rates, service fees, delivery charges, gratuities, and any applicable taxes to allow direct cost comparison.

Menu Options

Specify core menu choices, portion sizes, vegetarian/vegan/halal/other requirements, allergen declarations, and optional add-ons that affect cost and preparation.

Delivery & Setup

Detail access hours, load-in procedures, required equipment, staging locations, and cleanup responsibilities to avoid onsite delays or additional fees.

Insurance & Compliance

Request proof of general liability, workers’ comp, food-safety certifications, and any background checks required by the venue or jurisdiction.

Evaluation Criteria

List weighted criteria such as price, menu suitability, references, compliance, and sustainability so bidders understand award priorities.

How to Download, Save, and Archive RFQ Documents

Provide clear instructions for preserving RFQ versions, vendor submissions, and signed award documents in common formats.

Final RFQ PDF

Export the issued RFQ as a locked PDF/A for archival; maintain a draft history for audit trails and change logs.

Vendor Quotes

Collect vendor files as PDFs or signed PDF packages that include the certificate of completion and metadata for each submission.

Evaluation Records

Save scorecards, clarification emails, and scoring worksheets in an access-controlled repository with version history.

Award Documents

Store signed contracts, purchase orders, and insurance certificates together as a single archived bundle for the contract lifecycle.

How an RFQ Differs from an RFP

Compare RFQ and RFP to determine whether the procurement requires price-only quotes or detailed technical proposals.

Criteria RFQ RFP
Primary Purpose price focused solutions and approach
Level of Detail minimal specs detailed requirements
Buyer Control high collaborative evaluation
Supplier Response standardized quotes customized proposals

How to Update or Revise an Issued RFQ

Follow a controlled amendment process to preserve fairness and auditability when revising a published RFQ.

01

Draft Amendment:

Record changes and rationale in a single document
02

Internal Approval:

Obtain sign-off from procurement and legal authorities
03

Publish Addendum:

Post to same channels as original RFQ
04

Notify Vendors:

Send direct notices and extend deadlines if needed
05

Log Responses:

Track submissions against the updated requirements
06

Retain Record:

Archive amendment and distribution proof with RFQ files

Use a reusable RFQ template that includes mandatory fields such as insurance, licenses, fixed pricing, and a binding signature block to ensure consistent vendor responses and simplify evaluation.
Be Specific
Quantify servings, portion sizes, and service windows. Provide site diagrams and loading instructions so vendors can price logistics accurately and avoid change orders.
Require Credentials
Ask for proof of insurance, food-safety certificates, and references up front to weed out noncompliant vendors and reduce evaluation time.
