Practical tips to ensure accurate, efficient CCOF completion

Apply these practical checks to reduce rework and improve acceptance by counterparties and regulators.

Validate corporate names and registrations
Confirm the entity name and state of formation against the Secretary of State record before populating the CCOF to avoid verification failures and processing delays.
Attach supporting board resolution
Include a dated board resolution or corporate minutes that explicitly authorizes the signer; this preempts requests for additional proof and reduces review cycles.
Choose appropriate authentication
For sensitive certifications, require multi-factor signer authentication or notarization to strengthen attribution and reduce repudiation risk during downstream audits.
Keep a clear audit trail
Record timestamps, signer IPs, and signer authentication methods and retain the certificate of completion alongside the signed PDF for evidentiary support.
