What the Cheer Signs Approval Form Is

The Cheer Signs Approval Form is a standardized request used by schools, event organizers, and venue operators to review and authorize signs, banners, or posters displayed at athletic events and public gatherings. It captures applicant details, artwork or text, dimensions, mounting method, and safety considerations. The form creates a recorded approval trail that documents content review, safety checks, and final authorization by designated school or facility personnel. It also supports electronic submission and signatures where allowed, enabling faster processing and consistent records for future reference.

Why a Formal Approval Form Matters

A dedicated approval form ensures consistent content review, confirms structural and safety compliance, documents sign-off authority, and creates an auditable record for disputes or inspections. It reduces last-minute removals and clarifies responsibility for installation and removal.

Why a Formal Approval Form Matters

Who typically completes and reviews this form

Multiple parties may submit, route, and approve the form depending on school and venue policy.

  • School administrators and athletic directors: Review content, confirm venue rules, and issue final approval.
  • Coaches, parent volunteers, and booster clubs: Submit design, materials, and mounting plans for review.
  • Facilities and safety staff: Verify materials, mounting methods, and emergency egress compliance.

Clear role separation speeds review and assigns accountability for sign placement, maintenance, and removal.

Essential parts of a professional Cheer Signs Approval Form

A comprehensive form combines applicant data, technical specifications, content details, risk checks, routing for approval, and a clear signature block so approvals are consistent and defensible.

Applicant Details

Name, organization, contact phone and email so approvers can follow up on questions or schedule inspections before the event.

Sign Dimensions

Record height, width, thickness, and mounting method. Accurate dimensions prevent obstruction of sightlines and ensure compliance with venue rules.

Graphics and Text

Attach a full-color image or exact text. Note fonts and colors used; vague descriptions invite rejections and delay approval.

Materials & Safety

List materials, flame retardancy, fasteners, and attachment points. Safety notes reduce fire and egress risks during high-traffic events.

Review Checklist

Include checkboxes for content policy, structural safety, ADA/egress impacts, and any special permits required for oversized signs.

Signature Block

Designate who approves (title and printed name) and capture date. If electronic signatures are allowed, capture audit trail details.

Step-by-step: how to complete and submit the form

Follow these four steps to prepare an approval-ready submission and minimize back-and-forth with reviewers.

  • 01
Prepare Artwork: Attach high-resolution image or exact text.

  • 03
Submit to Review: Route to athletic director and facilities.
  • 04

Common mistakes that delay approval

  • Submitting low-resolution artwork or images that prevent accurate content review and require resubmission.
  • Leaving fields blank such as mounting method or exact dimensions, which forces reviewers to request clarifications.
  • Failing to check content policy for prohibited messaging or imagery, leading to outright rejection.
  • Not coordinating installation times with facilities staff, causing missed inspections or denied mounting at the venue.

Potential consequences of incorrect or noncompliant submissions

Content Rejection: Sign removed immediately
Event Sanctions: Team or group disciplinary action
Safety Hazard: Installation prohibited for safety
Liability Exposure: Organizer may face claims
Permit Fines: Local fines for unpermitted signs
Record Issues: Missing approvals complicate audits

Security and compliance considerations for stored approvals

Encryption in Transit: TLS 1.2/1.3 protects data during transmission
Encryption at Rest: AES-256 used for stored records
Audit Trail: Signed records should include timestamps and IP logs
HIPAA: BAA required if forms include protected health data
ESIGN / UETA: Electronic signatures are accepted under federal and state law
Access Controls: Role-based permissions limit who can approve or edit

Download, export, and supporting documents

Make signed approvals easy to export and attach to permits or event packets in common formats.

Download Formats

Provide signed records as PDF/A for archiving, plus DOCX for editable templates and PNG/JPG for attached artwork.
