What the Childcare PlayCare Agreement Is

The Childcare PlayCare Agreement is a written contract between a childcare provider and a child's parent or legal guardian that sets the terms for care, supervision, and related services. It records enrollment details, daily schedule, fees and payment terms, authorized pickups, emergency and medical consents, required records (immunizations, allergy plans), discipline and medication policies, confidentiality and photo-release provisions, termination and notice rules, and any attachment exhibits such as schedules or program handbooks. The agreement provides evidence of mutual expectations and supports compliance with state child-care licensing requirements.

Why a Clear Agreement Matters for Providers and Families

A written Childcare PlayCare Agreement reduces misunderstandings, documents consent for medical care and outings, clarifies fees and liability limits, and creates an auditable record for licensing inspections or disputes. It also helps demonstrate compliance with applicable state regulations and public health requirements.

Why a Clear Agreement Matters for Providers and Families

Who Typically Completes a Childcare PlayCare Agreement

The agreement is completed when a family enrolls a child and the provider documents service terms before care begins.

  • Parents or legal guardians: Provide child data, emergency contacts, consents, and signature for enrollment and medical authorization.
  • Childcare programs and individual providers: Record program rules, fees, staffing ratios, and signature blocks to accept responsibility.
  • Licensing or subsidy administrators: Use the agreement as part of an audit or subsidy eligibility review when requested.

Each signer should retain a copy; the provider typically keeps the original in the child's file for licensing and retention purposes.

Step-by-Step: Completing the Childcare PlayCare Agreement

Follow this ordered checklist to populate every required section, confirm identity, and gather supporting records before the child's first day.

  • 01
Gather documents: Collect ID, immunization records, custody paperwork, and allergy plans.
  • 02
Enter child data: Complete full name, DOB, address, and any medical conditions.
  • 03
Set fees and schedule: Specify hourly/daily rates, payment due dates, and late fees.
  • 04
Sign and date: Parent and authorized provider sign and date before care begins.

Core Sections Every Professional Childcare PlayCare Agreement Should Include

A comprehensive agreement organizes obligations and permissions into clear sections so parents, staff, and regulators can verify compliance and responsibilities at a glance.

Enrollment Details

Names, date of birth, start date, primary contacts, and any custody restrictions. Accurate enrollment data supports admission decisions and subsidy invoicing.

Schedule & Hours

Regular hours, late pickup policy, holiday closures, and any flexible scheduling rules. Clear hours prevent disputes over billing and staffing.

Fees & Payment Terms

Tuition rates, payment frequency, accepted payment methods, late fees, and refund conditions. Specify due dates and returned-payment penalties.

Health & Safety

Immunization requirements, illness exclusion rules, medication authorizations, and emergency response procedures. Attach action plans for allergies.

Permissions & Releases

Photo release, field trip consent, transportation permission, and authorization for emergency medical care. Define scope and duration of each release.

Termination & Notice

Termination reasons, notice periods for withdrawal, and any early-termination fees or last-pay obligations to avoid collection disputes.

Essential Data Elements and Recordkeeping Notes

Child identifiers: Full name, DOB
Contact details: Parent phone and email
Medical records: Allergy and medication
Authorizations: Emergency and transport
Payment info: Tuition and billing terms
Provider info: License number and address

Risks and Potential Consequences of an Incomplete or Incorrect Agreement

Service disputes: Denials of refund claims
Liability exposure: Increased civil risk
Licensing issues: Regulatory noncompliance
Medical risks: Unauthorized treatment
Subsidy denial: Missing eligibility proof
Enrollment delays: Start date postponed

Common Preparation Mistakes to Avoid

  • Incomplete emergency contacts leaving no local authorized pick-up person, which delays admission or creates risk at drop-off.
  • Vague fee language that omits payment due dates or late-fee calculation, inviting disputes and collection problems.
  • Missing medical consent or allergy action plans that impede staff response and increase liability exposure during an emergency.
  • Not updating custody or guardian documents, causing confusion about who may lawfully pick up the child.

Typical Submission and Approval Workflow

A standard workflow helps providers collect, verify, and store executed agreements efficiently while maintaining an audit trail for compliance.

  • Upload: Provider uploads the agreement template to the signing platform.
  • Populate: Provider or parent fills required fields with accurate data.
  • Authenticate: Signer confirms identity via email or additional checks.
  • Store: Signed copy and audit trail are retained in records.

Recommended Digital Workflow Settings for Online Completion

Configure the digital workflow to match program intake processes and to capture authentication, notifications, and file storage consistently.

Field Configuration
Signers Parent and provider email addresses required
Authentication Email link by default; SMS code optional
Notifications Automatic reminders for unsigned fields
Storage Encrypted PDF saved to child file

Technical Considerations for eCompletion and Storage

Choose a platform that supports secure storage, an auditable signature trail, and optional advanced authentication for sensitive records.

  • File formats: PDF and DOCX accepted
  • Integrations: Common CRMs and cloud storage
  • Security: TLS and AES-256 encryption

Medical and emergency info due before the child's first day

Payment due dates:

Monthly or weekly tuition deadlines specified in the fee section

Annual review:
