What a Client Acceptance Sheet Is and When It’s Used

A Client Acceptance Sheet is a formal onboarding record used to document a firm’s decision to accept (or decline) a prospective client. It captures identity and business details, conflict checks, engagement scope, risk classification, and internal approvals so the intake decision is auditable. Organizations use it to confirm that due diligence, conflicts screening, AML/KYC checks, and any required authorizations were completed before starting work. The sheet creates a single-line record for file folders, billing systems, and compliance logs while preserving evidence of who approved the relationship and why.

Why maintaining a Client Acceptance Sheet matters

A documented acceptance decision reduces onboarding risk, supports compliance with internal policies and external rules, and provides an evidentiary record for audits and disputes. It clarifies scope and responsibilities at intake, helping reduce downstream scope creep and billing disagreements.

Why maintaining a Client Acceptance Sheet matters

Who prepares and reviews the Client Acceptance Sheet

The sheet creates a transparent trail from intake to signed approval that legal, finance, and compliance teams can reference if questions arise.

  • Intake/Client Relations — Collects client contact details, engagement summary, and initial risk flags before routing for approval.
  • Compliance / Risk Officer — Performs identity checks, AML/KYC screening, and confirms regulatory fit for the engagement.
  • Partner / Authorized Signer — Reviews results, confirms conflicts checks, and signs to authorize the engagement to proceed.

Core components to include in a professional Client Acceptance Sheet

A complete sheet balances administrative detail with succinct decision rationale. Include identification, risk indicators, engagement terms, approvals, and references to supporting documents so reviewers can act without re-running intake checks.

Client Details

Company or individual legal name, DBA, tax ID, address and primary contact for onboarding and billing.

Engagement Summary

Short description of services, expected start date, project manager, and primary deliverables or milestones.

Risk Assessment

Risk level, AML/KYC results, PEPs/sanctions screening outcomes, and any enhanced due diligence required.

Conflict Check

Conflict-search result, related matters noted, and any required waivers or ethical screens.

Approvals

Names, roles, dates, and signature fields for each approver, with order of signing where applicable.

Supporting Links

List of attached or indexed documents such as engagement letter, proof of identity, and internal memos.

Step-by-step: completing and approving the Client Acceptance Sheet

Follow a consistent sequence to ensure every acceptance includes identity checks, conflict screening, and approvals before work begins.

  • 01
Prepare intake: Collect client details and engagement summary; attach ID and formation documents.
  • 02
Run checks: Perform AML/KYC, sanctions, and conflict searches and record outcomes.
  • 03
Classify risk: Assign risk level and note required mitigations or approvals if elevated.
  • 04
Approve and sign: Route to authorized approver(s) and capture signatures with dates and roles.

How to configure an online onboarding workflow

Map fields, routing, and authentication so the sheet flows automatically from intake to signature and archival.

Field Configuration
Client Info Fields Required, verify format rules and set Magic detection for names and addresses.
Conditional Routing If Risk = High, route to Compliance and require secondary approval.
Authentication Enable email + SMS code for signers; add KBA where regulation requires stronger identity proofing.
Retention Auto-archive signed PDFs to document store and retain audit trail metadata.

Typical routing and submission flow for the Client Acceptance Sheet

A clear, linear flow reduces handoffs and ensures approvals are captured in sequence with an audit trail.

  • Upload: Intake uploads form and attachments into the system.
  • Auto-fill: System extracts identified fields and performs automated checks.
  • Review: Compliance and partner reviewers receive notifications in order.
  • Sign & Archive: Authorized signer executes signature; document and audit trail are stored.

Technology considerations for digital completion and signatures

Ensure the platform you pick integrates with your systems (CRM, document repository) and supports retention and export capabilities for audits.

  • Authentication Options: Email link, SMS code, or KBA for higher-risk clients.
  • Audit Trail: Capture IP, timestamp, and action log for each signer.
  • Storage & Integrations: Save signed PDFs to enterprise storage and sync with CRM.

Security and compliance elements to document

Encryption: TLS 1.2/1.3 and AES-256
Audit Logs: Signer IP and timestamps
Access Controls: Role-based permissioning
BAA Availability: Required for HIPAA workflows
Data Residency: Cloud region selection options
Certifications: SOC 2 Type II, ISO 27001

Common preparation errors to avoid

  • Incomplete client identifiers — missing EIN/SSN or mismatched names that trigger tax or KYC holds and delay onboarding.
  • Vague engagement scope — unclear deliverables lead to disputes and informal scope creep after acceptance.
  • Missing approvals — starting work before required sign-off exposes teams to billing and compliance risk.
  • Poor record linking — failure to attach supporting documents makes audit reconstruction difficult and increases legal exposure.

Timing and processing expectations for client acceptance

Set internal SLAs to complete checks and approvals so work does not commence before controls are satisfied.

Initial intake:

Complete within 24–72 hours of receiving client data.

Conflict & KYC checks:

Run immediately; resolve hits before approval.

Manager review:

Target 3 business days for low-risk matters.

High-risk escalation:

Allow 7–14 business days for enhanced due diligence.

Final sign-off:

Sign and archive within 1 business day after approvals.

Consequences of incorrect or missing Client Acceptance Sheets

Regulatory Fines: Monetary penalties for AML/KYC lapses
Contract Risk: Disputes if scope or authority is unclear
Tax Exposure: Incorrect TIN data may trigger backup withholding
Professional Liability: Ethics complaints when conflicts are missed
Operational Delay: Work stoppage pending remedial checks
Audit Findings: Adverse audit results and remediation costs
