What the Client Account Record Is and why it matters

A Client Account Record is a standardized onboarding document that captures the identifying, financial, and compliance information required to open and maintain a client relationship. Typical entries include legal name, contact and mailing address, taxpayer identification, account type and number, authorized signers, funding instructions, risk disclosures, and consent statements. Firms use this record to satisfy know-your-customer, anti-money-laundering, and internal audit requirements. When executed electronically, the record must meet ESIGN and applicable state UETA or ESRA requirements to be legally enforceable and reproducible for regulatory review.

Why a clear Client Account Record reduces risk

A complete Client Account Record centralizes client data for compliance, auditability, and operational efficiency while reducing onboarding errors and liability exposure.

Common preparation mistakes to avoid

  • Failing to match the client's legal name to government ID leads to verification delays and potential account holds.
  • Omitting or misstating the taxpayer identification number can trigger backup withholding and IRS correspondence.
