What the Client Build Consent Form Is and Why It Exists

The Client Build Consent Form documents a client's written approval for a custom build, scope change, or project-specific authorization. It records agreed deliverables, estimated costs, timelines, site access permissions, and any client selections or allowances. The form creates a dated, reproducible record used for billing, permitting, inspections, and dispute resolution. Proper completion reduces ambiguity between parties and provides an auditable record that supports compliance with applicable federal and state requirements governing contracts and consumer disclosures.

Why Use a Client Build Consent Form

A Client Build Consent Form reduces scope disputes, documents client approval of costs and schedule changes, and provides a clear paper trail for billing, permits, and regulatory review. It supports enforcement of contractual terms and improves auditability for vendors and clients.

Why Use a Client Build Consent Form

Typical Parties Who Complete or Sign This Form

Project managers, contractors, architects, and client representatives commonly prepare or request the Client Build Consent Form before work begins.

  • General contractors: submit for client approval of project scope, materials, change orders, and payment schedules.
  • Architects and designers: document selections, allowances, and client authorization for design changes and extras.
  • Property owners and authorized agents: provide informed consent and retain a dated record for disputes or permit purposes.

Use the form when authority, cost, or timeline changes require written client authorization to proceed and to preserve a dated record for later review.

Who May Legally Sign

Primary Client

The individual or legal entity that hires the contractor. The signer should have clear authority to accept costs and obligations; include capacity (for example, owner or corporate officer) to avoid later challenges to authority or payment responsibility.

Authorized Agent

A person signing on behalf of the client with documented authority such as a power of attorney, corporate resolution, or documented delegation. Attach supporting paperwork to verify authority and prevent disputes about standing or liability.

Core Elements to Include in a Professional Form

A complete Client Build Consent Form groups agreement details into clear sections so parties can confirm scope, costs, schedule, and responsibilities in a single record.

Project Scope

A concise, itemized description of work, deliverables, and exclusions. Use numbered line items or an incorporated exhibit to avoid ambiguity and to make change orders easier to reference.

Cost and Payments

State total cost, deposit, payment schedule, and how change orders affect pricing. Include whether payments are estimates, fixed sums, or subject to adjustments.

Schedule and Milestones

Specify start date, key milestones, and completion criteria. Note permitting or inspection dependencies that may affect target dates.

Client Authorizations

Capture selections for materials, finishes, and allowances. Include explicit client confirmation of any upgrades or substitutions.

Liability and Access

Describe site access hours, contractor entry permissions, and client obligations for utilities, permits, or third-party coordination.

Signatures and Dates

Provide signature blocks with printed name, title, date, and capacity. Include witness or notary lines only if required by jurisdiction or client policy.
