What the Client Communication Circular Is and When It’s Used

A Client Communication Circular is a formal written notice issued by a business, law firm, financial services provider, or other professional to inform clients of material updates, policy changes, procedural instructions, or time-sensitive requests. The circular summarizes the subject, effective date, who is affected, required client actions, and contact points for follow-up. It may be delivered as a standalone document or attached to client files and is commonly used for regulatory disclosures, billing changes, engagement scope updates, compliance notices, and special announcements where documentation of delivery and client acknowledgment is required.

Why a Clear Client Communication Circular Matters

A concise circular reduces misunderstandings, supports compliance, and creates a documented record of notice and client responses. It clarifies expectations and provides an auditable trail for regulatory or contractual purposes.

Why a Clear Client Communication Circular Matters

Who Commonly Issues and Receives These Circulars

Professional firms, account managers, compliance officers, and client service teams commonly prepare Client Communication Circulars as part of routine client administration.

  • Law firms and legal departments notifying clients of procedural or case-status changes.
  • Financial services and accounting teams issuing regulatory or tax-related updates.
  • Healthcare practices communicating policy or consent changes to patients.

Recipients typically include individual clients, corporate contacts, account holders, and authorized representatives; identify recipients precisely to ensure accurate delivery and recordkeeping.

Step-by-Step: Prepare and Issue the Circular

A standard workflow reduces errors and ensures the circular reaches the correct client and is retained properly.

  • 01
Draft Content: Write concise purpose, scope, and required actions.
  • 02
Verify Recipients: Confirm authorized contacts and legal names.
  • 03
Choose Delivery Method: Select e-mail, portal, certified mail, or eSignature.
  • 04
Record and Retain: Log delivery and obtain acknowledgment where required.

Digital Workflow Settings for Online Completion

Configure a repeatable workflow for digital issuance, tracking, and retention consistent with legal and internal requirements.

Field Configuration
Signer Authentication Email link or SMS code; choose stronger KBA for high-risk notices
Signature Order Sequential or parallel signing; use sequential where approvals must be staged
Audit Trail Enable detailed logs capturing IP, timestamp, and events
Retention Policy Set automatic archival and export options per retention schedule

How Electronic Delivery and Acknowledgment Works

Electronic circulars follow a standard lifecycle from upload to signed or acknowledged completion and archival.

  • Upload Document: Place final circular in the platform and set fields.
  • Assign Signers: Add recipient emails and signer roles.
  • Deliver Notice: System sends email or portal notice to recipients.
  • Capture Response: Signer signs or acknowledges; audit trail saved.

Technical and Security Considerations for eDelivery

Ensure your platform supports required authentication, export formats, and secure storage before issuing electronic circulars.

  • File Formats: PDF, DOCX supported
  • Authentication: Email, SMS, KBA options
  • Integrations: CRM and cloud storage

Confirm compliance features (audit trail, encryption, BAA if healthcare) and integration needs such as Salesforce, Microsoft 365, or NetSuite for automatic routing and archiving.

Recordkeeping

Specify retention, contact for disputes, and instructions for obtaining copies to maintain an auditable trail.

Security and Compliance Checklist
