What a Client Contact Update Letter Is and When to Use It

A Client Contact Update Letter notifies a client or third party of changes to contact details such as mailing address, billing email, phone number, or authorized representative. It is a brief written record used to keep account records current, ensure delivery of notices, and document consent to future communications. Organizations commonly send this letter after onboarding, a merger, a change of account manager, or when required by contract. The letter should clearly identify the account, list the updated fields, state the effective date, and include an authorized signature to show approval of the change.

Why Maintaining an Accurate Client Contact Update Letter Matters

Keeping client contact details current reduces missed notices, supports regulatory compliance, preserves contract enforcement, and limits operational delays. For many regulated records, a dated written update creates an audit trail that demonstrates intent and receipt. Electronic execution is generally valid under the ESIGN Act (15 U.S.C. ch. 96) and UETA where adopted, but check industry-specific rules for exceptions.

Why Maintaining an Accurate Client Contact Update Letter Matters

Which Roles Typically Prepare or Receive This Letter

The recipient list should be aligned with internal recordkeeping and any contractual notice provisions to ensure the update is effective.

  • Account managers and client success teams who maintain client records and require up-to-date contact info for onboarding and support.
  • Compliance or legal teams who need documented contact changes to preserve notice requirements and demonstrate chain-of-custody.
  • Billing and collections departments that require accurate addresses and emails to avoid payment delays or tax reporting errors.
