What the Client Esignature Log Is

A Client Esignature Log is a formal record that tracks the execution of documents by clients using electronic signatures. It records who signed, when they signed, the method of electronic authentication, the document name and version, and any related audit-trail metadata. Organizations use the log to demonstrate consent, attribution, and retention for compliance with U.S. electronic signature laws and industry rules. The log supports verification during audits, helps resolve disputes about execution timing, and complements a signed PDF or certificate of completion maintained with the underlying file.

Why a Client Esignature Log Matters

A Client Esignature Log centralizes signature events and preserves the evidence necessary to show intent, attribution, and record retention under ESIGN and UETA. Maintaining a consistent log reduces ambiguity about who signed and when, simplifies audits, and supports regulatory requirements in regulated industries.

Why a Client Esignature Log Matters

Who Typically Maintains and Uses the Log

Teams that process signed client agreements, collect consent, or manage compliance typically create and maintain a Client Esignature Log.

  • Real Estate professionals use logs to track lease, purchase, and closing signatures across parties and versions.
  • Healthcare administrators maintain logs to document patient consent and HIPAA-related authorizations with audit metadata.
  • Finance and legal teams record execution of contracts, invoices, and approvals to support financial controls and dispute resolution.

The log is useful both for operational teams (sales, HR, legal) and for compliance or audit functions who need a searchable record of execution events.

Who Signs and Who Records It

Signing Party

Clients or their authorized representatives sign documents using a chosen eSignature method. The log should capture their full legal name, contact information, authentication method used, and the IP address or other attribution data to show intent and identity for legal defensibility.

Record Keeper

An internal administrator, legal team member, or compliance officer is responsible for adding and retaining entries in the Client Esignature Log. That person ensures entries are complete, that associated signed documents are attached, and that retention and access controls match company policy and regulatory requirements.

Security and Compliance Attributes to Record

Encryption: TLS 1.2/1.3; AES-256 at rest
Audit Trail: Time-stamped actions and IP
Certifications: SOC 2 Type II; ISO 27001
Healthcare: HIPAA support; BAA required
Regulatory: 21 CFR Part 11 capabilities
Accessibility: WCAG 2.0 Level AA

Primary Risks When the Log Is Incorrect

Tax Reporting: IRC §6721 penalties apply
HIPAA Violations: 45 CFR §164.530(j) exposure
Missing Attribution: Signature may be challenged
Retention Gaps: Audit failure risk
Data Breach: Regulatory fines possible
Operational Delay: Contract execution slowed

Quick Steps to Create and Maintain the Log

Follow a repeatable sequence to capture every signing event, attach the signed record, and preserve metadata so the log supports audits and legal review.

  • 01
Upload: Store the executed PDF or certificate
  • 02
Record: Enter signer name, email, and role
  • 03
Authentication: Log method used and verification evidence
  • 04
Retain: Link retention disposition and location

How to Configure an Online Log Workflow

Set up fields, authentication, and routing to ensure every signing event is captured automatically and consistently.

Field Configuration
Document Attachments Auto-attach signed PDF and certificate
Authentication Method Email link, SMS code, or KBA
Auto-Indexing Populate log from metadata
Retention Tagging Set retention policy on save

Typical Digital Signing Flow for the Log

A standard flow ties the eSignature event to the log entry and saves both the document and its audit trail in a secure repository.

  • Initiate: Sender uploads and prepares fields
  • Notify: Signer receives email or link
  • Authenticate: Signer verifies identity and signs
  • Archive: Signed file plus certificate saved

Technical and Integration Considerations

Confirm the eSignature platform supports automatic export of audit trails, secure storage, and the authentication methods your policy requires.

  • Integrations: Salesforce, NetSuite, Google Workspace
  • File Formats: PDF, DOCX, HTML, Excel
  • Authentication: Email, SMS, KBA, ID analysis

Real-World Examples of Using a Client Esignature Log

Examples show how organizations use a log to tie signed documents to business outcomes and compliance evidence.

Martin Properties

Martin Properties digitized execution to support remote closings and leasing.

  • "I can process and execute all of these documents online with 100% compliance and built-in security."
  • The log provides a single source linking each signed lease to its audit trail, reducing time to close and simplifying file retrieval during audits.

Fertility Centers

Fertility Centers of Illinois integrated signing into clinical intake workflows.

  • "The API has been great, and we're extremely happy that we chose airSlate SignNow as a company."
  • The log records patient consent signatures, authentication method, and stored certificates to meet internal compliance and clinician access needs.

Key Elements of a Professional Client Esignature Log

A complete log contains standardized fields, linkage to signed artifacts, secure storage, and metadata required by auditors and regulators.

Standard Fields

Consistent fields for signer name, email, role, and document identifiers ensure entries are searchable and match the attached signed documents across systems.

Authentication Evidence

Capture the authentication method, verification steps, and any identity-analysis results to increase evidentiary weight in disputes or regulatory reviews.

Timestamping

Record precise date, time, and timezone for each event. Reliable timestamps support sequencing for multi-party agreements and statute calculations.

Attached Artifacts

Include the signed PDF, certificate of completion, and a hash or checksum to demonstrate the file has not been altered after signing.

Access Controls

Restrict who can add, edit, or delete log entries and keep an administrative audit trail of changes to the log itself for internal control.

Retention Tags

Apply retention categories and legal hold flags at entry time so records are retained or disposed of according to policy and regulation.

Exporting, Backup, and File Formats to Preserve Evidence

Ensure the log and signed artifacts can be exported in standard formats for long-term retention, eDiscovery, or regulator review.

PDF Archive

Store final signed PDFs with embedded certificates and an external checksum to maintain forensic integrity and support ISO/industry standards for document preservation.

CSV/JSON Export

Provide export of log entries as CSV or JSON to integrate with records management or legal discovery tools while preserving structured metadata.

Immutable Backups

Retain immutable backups or WORM storage for critical logs to prevent tampering and meet audit or litigation hold requirements.

Cloud Storage

Use encrypted cloud repositories with versioning and access logging so both the log and signed documents remain available and traceable.

Practical Tips for Accurate and Efficient Logging

Apply consistent standards, automate where possible, and validate entries routinely to keep the esignature log reliable and defensible.

Enforce a Naming Convention
Use a consistent document naming standard that includes document type, version, and client identifier. This reduces lookup time, prevents duplicate entries, and ensures the attached file matches the log entry for audits.
Automate Metadata Capture
Configure the signing workflow to populate log fields from the signing event automatically, including timestamp, signer email, IP address, and certificate data, to eliminate manual entry errors.
Periodic Reconciliation
Reconcile log entries to stored signed artifacts on a regular schedule. Spot-check a sample of entries to confirm attachments, timestamps, and authentication evidence are present and unaltered.
Lock and Audit Changes
Restrict edit rights and require an audit trail for any changes to log entries. If edits are necessary, retain original values plus reason and editor identity for compliance purposes.

Timing Expectations and Key Dates to Track

Track dates tied to execution, delivery, filing, and retention so time-sensitive obligations and statutory deadlines are met.

Execution Timestamp:

Capture exact signed date and time at signing

Delivery Date:

Record when signed copies were delivered to parties

Filing Deadlines:

Note any regulator or tax filing dates linked to the document

Retention Start:

Set retention period start based on executed date

Review Cycle:

Schedule periodic reconciliation and legal review
