What the Client Information Registration Is and When It’s Used

A Client Information Registration is a standardized form used to collect core details about a new or existing client for onboarding, recordkeeping, compliance, and communications. Typical fields include legal name, contact and billing addresses, tax identifiers, signatory authority, and preferred methods for notices. Organizations use this record to verify identity, establish payment and tax reporting obligations, apply appropriate privacy protections, and create a single source of truth for client data that feeds invoicing, contract management, and regulatory workflows.

Why a Proper Client Information Registration Matters

A complete registration reduces downstream errors, speeds onboarding, and supports regulatory compliance by capturing identity, tax, and consent information up front.

Why a Proper Client Information Registration Matters

Who Completes and Relies on This Form

Typical users prepare, submit, or reference the registration during onboarding, contract execution, and account maintenance.

  • Sales and Account Managers — Collect contact, billing, and decision-maker info to activate services and schedule onboarding.
  • Finance and Billing Teams — Use tax identifiers and billing addresses to set up invoices, tax reporting, and collections.
  • Legal and Compliance — Verify authority to sign, retain consent records, and apply industry-specific privacy protections.

Different teams—sales, finance, legal, and operations—use the collected data to trigger their specific processes and controls.

Who May Legally Sign the Registration

Primary Client — Authorized Representative

An individual expressly authorized by the client entity to bind the organization. Provide title and a brief description of authority; attach a delegation document if available. If the signer is an individual client, their signature should match government ID.

Authorized Signatory — Company Officer

An officer such as CEO, CFO, or director with corporate authority. Include job title and corporate capacity; corporate signers should follow board resolutions or company bylaws when required to validate authority.

Essential Elements of a Professional Registration Form

A well-constructed registration collects identity, contact, tax, payment, signatory, and privacy consent information while preserving an audit trail for future review and compliance.

Legal Name

Full legal name of the individual or business as shown on government or incorporation documents, used for tax and contract purposes.

Contact Details

Primary phone, email, and physical mailing address including city, state, and ZIP — required for notices, billing, and identity verification.

Tax Identifiers

TIN, EIN, or SSN as applicable. Required for tax reporting and backup withholding determinations when collecting payments.

Billing and Payment

Preferred billing address, payment method details, and billing contact to link invoices and prevent delayed collections.

Signatory Authority

Name, title, and electronic or printed signature block for the authorized signer; include proof of authority where needed.

Privacy & Consent

Consent checkboxes for electronic records and disclosures for regulated industries (HIPAA, FERPA, financial consent) and retention preferences.

How to Complete and Submit the Registration

Follow these four steps to capture accurate client information and ensure the record routes to the correct teams.

  • 01
Prepare: Gather ID, tax documents, and proof of authority before starting.
  • 02
Enter: Complete fields precisely, using MM/DD/YYYY for dates and USPS state codes.
  • 03
Authenticate: Confirm signer identity via ID, email, SMS code, or required KBA.
  • 04
Submit: Save a signed copy and route to finance, legal, and account teams.

Where the Completed Registration Typically Goes

A completed registration routes to designated teams and systems so downstream processes can proceed without manual re-entry.

  • CRM: Record central contact and contract metadata in Salesforce or other CRM.
  • Accounting: Send tax and billing data to the finance system for invoicing and 1099 setup.
  • Legal: Store signatory records and consent in the contract repository.
  • Document Store: Archive signed copy in Box, Egnyte, or cloud storage with retention controls.

Configuring an Online Registration Workflow

Key workflow settings determine routing, signer authentication, and storage for electronic registrations.

Field Configuration
Authentication Level Email, SMS OTP, or KBA per risk profile
Routing Auto-route to finance and legal on completion
Retention Tag Apply record class and retention policy
Notifications Send confirmation to client and internal contacts

Distribution Channels and Technical Compatibility

Share and collect registrations through email links, embedded web forms, or integration with CRM and document platforms.

  • Supported Formats: PDF, Word DOCX, and HTML
  • Integrations: Salesforce, NetSuite, Microsoft 365, Google Workspace
  • Storage Connectors: Box, Egnyte, AWS

Timing Expectations and Time-Sensitive Items

Certain items tied to a registration have specific timing obligations or recommended review intervals; meet these to avoid compliance gaps.

Initial Submission:

Provide registration at contract signing or service activation.

W-9 Provision:

Supply a W-9 when requested by a payer; no fixed IRS deadline.

I-9 Completion:

Employers must complete I-9 identity verification within three business days of hire.

Annual Review:

Verify critical fields annually or when contact details change.

Record Retention Start:

Retention periods begin on creation or last effective date of the record.

Common Errors That Slow Processing

  • Incomplete tax identifiers causing backup withholding or delayed payments and added administrative work.
  • Mismatched signer names between ID and registration that impede identity verification and may invalidate signatures.
  • Providing only a P.O. box when a physical address is required for service of legal notices or certain verifications.
  • Failing to record signatory capacity or attach delegation documents when the signer lacks clear authority.

Risks and Consequences of Incorrect Registrations

Incorrect TIN: Backup withholding 24% under IRS rules
Late Tax Reporting: IRC §6721 penalties per form
Unauthorized Signer: Contract unenforceable or challenged
HIPAA Breach: Civil penalties and corrective action
I-9 Violations: DHS fines per violation
Data Loss: Regulatory exposure and reputational harm
