What the Client Intake Package Includes and Why It Exists

A Client Intake Package is a standardized set of forms and supporting documents used to collect the factual, legal, and administrative information needed to onboard a new client. Typical contents include client identification, contact details, engagement scope, billing and payment terms, required consents or disclosures, tax identifiers, and signature blocks. The package establishes the baseline record for the relationship, supports background checks or eligibility verification where required, and creates a single canonical record suitable for retention, audit, and secure e-signature processing under U.S. electronic signature law.

Key reasons a consistent intake package matters

Consistent intake reduces errors, accelerates onboarding, and centralizes records for billing, compliance, and reporting. Using a complete package helps ensure required disclosures are captured and makes audits and regulatory requests faster to satisfy.

Key reasons a consistent intake package matters

Typical users and teams that complete the package

A wide range of teams prepare or request a Client Intake Package at the start of an engagement, from small businesses to regulated enterprises.

  • Real estate agents and property managers who collect tenant details, lease terms, and disclosures during leasing.
  • Healthcare intake clerks and administrators collecting patient demographics, consent, and HIPAA-authorized signatures.
  • Finance, banking, and accounting teams requesting tax IDs, billing terms, and W-9 or similar tax documents.

Packages are tailored by role and risk profile: frontline staff collect basics while compliance or legal teams handle disclosures and special authorizations.

Core elements of a professional Client Intake Package

A thorough intake package groups essential items so reviewers can validate identity, authority, scope, and payment details without repeated follow-up.

Client Identity

Full legal name, date of birth or formation date, and government-issued ID details to confirm identity and avoid mismatches during verification.

Contact Information

Primary address, email, and phone number; include preferred method for notices and billing to ensure reliable delivery.

Tax and Payment

TIN or EIN, W-9 where required, billing address, payment method, and any agreed payment schedule or retainers.

Scope and Terms

Clear description of services or deliverables, start and end dates, fees, cancellation policy, and any milestone-based conditions.

Consents & Disclosures

Consumer-facing disclosures or HIPAA authorizations where applicable; explicit consent language is required for some electronic transactions.

Signature & Authority

Signature blocks identifying signer capacity, date lines, and any witness or notarization fields required by governing law.

Step-by-step: completing the Client Intake Package

Follow a consistent sequence to collect, verify, and store intake information to reduce rework and support legal compliance.

  • 01
Gather documents: Collect IDs, formation documents, and tax forms first.
  • 02
Complete fields: Enter required data using specified formats.
  • 03
Verify identity: Confirm IDs and TINs before approval.
  • 04
Sign and record: Obtain signatures, date the package, and save an audit copy.

Configuring an online intake workflow

Set up authentication, conditional fields, and routing rules so the package adapts to client responses and enforces required inputs.

Field Configuration | Recommended
Authentication Email link | SMS code optional
Conditional Fields Show/hide inputs | Use for optional documents
Templates Reusable package | Use for repeat client types
Integrations CRM sync | Salesforce and NetSuite

Where to submit completed intake materials

Intake packages may be returned by secure upload, sent through an e-signature provider, or uploaded directly into your document management system.

  • Secure Upload: Client uploads scanned documents to an encrypted portal.
  • Email Delivery: Send signed PDF attachments to a monitored inbox.
  • E-sign Provider: Use an e-signature workflow for signatures and audit trails.
  • Portal Entry: Save final package into the organization’s DMS.

Verify document format, authentication, and integration needs before choosing a digital intake platform to ensure compatibility with existing systems.

  • Integrations: Salesforce, NetSuite, Microsoft 365
  • File Formats: PDF, DOCX, HTML supported
  • Authentication: Email, SMS code, KBA

Typical timelines and expected turnaround

Set clear deadlines for each stage to avoid delays; communicate expected response windows to clients and internal reviewers.

Issue on engagement:

Send the intake package when the client engagement is confirmed.

Client return window:

Request signed return within 7 business days.

Verification period:

Allow 2–3 business days for ID and TIN checks.

Common mistakes that slow intake and how they appear

  • Incomplete name or mismatched legal name between ID and tax forms, creating delays for verification and tax reporting.
  • Missing supporting documents such as formation papers or proof of address, requiring follow-up and additional client contact.
  • Ambiguous scope or vague payment terms that lead to disputes about deliverables or invoicing expectations.
  • Using handwritten forms without digital capture increases data-entry errors and lengthens processing time for billing or background checks.

Short overview of penalties and compliance risks

Incorrect TIN: Backup withholding 24% (IRC §3406)
Late 1099: $60 per form for 30 days late (IRC §6721)
