What the Client Move Around Packet Is and When It's Used

The Client Move Around Packet is a consolidated administrative bundle used to transfer client records, authorizations, and account routing instructions between departments, service providers, or advisors. It groups identity details, contact updates, authorization signatures, and supporting documents so that a receiving party can resume services without interruption. Typical contents include client identifiers, current and destination contact information, scope of authority, consent statements, and signature blocks. The packet is intended for non-probate administrative transfers and business-to-business client transitions, and it should be completed with care to preserve consent, data privacy, and auditability.

Why a Standardized Packet Matters

A standardized Client Move Around Packet reduces processing delays, preserves a clear record of client consent, and centralizes required fields so receiving parties can validate authority quickly under ESIGN and UETA frameworks.

Why a Standardized Packet Matters

Who Typically Completes and Receives the Packet

Teams and roles that commonly prepare or sign the packet include client service representatives, account managers, compliance officers, and the client's authorized representatives.

  • Client Service Teams — prepare the packet to document client preferences and routing.
  • Compliance Officers — verify identity proofing and retention requirements are met.
  • Authorized Representatives — sign to confirm consent and authority on the client's behalf.

Use role-based review to ensure signatures, notarization (if required), and supporting documents match organizational policy before submission.

Typical Signers and Their Roles

Primary Client

The individual or entity whose information and authorizations are being transferred. Must provide identity verification and sign where client consent is required; signatures must match official ID to avoid processing delays.

Authorized Representative

A person or entity with delegated authority (power of attorney, corporate officer). Provide documentation of authority and sign within the scope specified; mismatched authority can invalidate the transfer.

Step-by-step: Completing the Packet

Follow these steps in order to prepare, validate, and submit a complete Client Move Around Packet.

  • 01
Gather Records: Collect client IDs, account numbers, and supporting documents.
  • 02
Complete Fields: Fill every required field with accurate data.
  • 03
Verify Identity: Confirm identity via ID check or electronic authentication.
  • 04
Sign & Route: Obtain signatures, notarize if required, and send to recipient.

Essential Components of a Professional Packet

A complete packet combines identity, consent, routing, and audit information so recipients can act without additional requests.

Client Identifiers

Includes legal name, date of birth, account numbers, and government ID references to ensure accurate matching across systems and reduce reconciliation errors.

Contact Details

Current and destination addresses, phone numbers, and email addresses for both client and receiving party to enable confirmation and delivery of records.

Authorization Statement

Clear description of what is authorized, the effective date, and any expiration or revocation conditions so recipients understand permitted actions.

Supporting Documents

Attach PDFs or scans of IDs, signed release forms, power of attorney, or corporate resolutions required to validate signer authority.

Signature & Authentication

Signed by the client or authorized representative and, where applicable, notary or witness information; include electronic signature metadata for audit trails.

Processing Instructions

Routing steps, contact persons, and internal tracking numbers to ensure consistent handoff and to document completion status.

Key Data and Compliance Elements to Include

Identity Proofing: Government ID
Consent Record: Signed authorization
Audit Trail: Timestamps/IP
Encryption: TLS 1.2/1.3
Data at Rest: AES-256
Regulatory Fit: HIPAA BAA

Common Preparation Pitfalls to Avoid

  • Incomplete identity information that fails verification and requires additional outreach, delaying transfer.
  • Unsigned or improperly dated signature blocks that cause the receiving organization to reject the packet.
  • Missing proof of authority (power of attorney or corporate resolution) when a representative signs on a client's behalf.
  • Using generic scope language such as 'all necessary actions' instead of explicitly listing permitted actions and timeframes.

Regulatory Risks and Common Penalties

1099 Penalties: IRC §6721: $60–$330 per form
I-9 Violations: 8 CFR §274a.2: $281–$2,789 per violation
HIPAA Breach: Civil penalties and corrective action
Backup Withholding: 24% withholding for incorrect TIN
Notarization Errors: Document rejection or nullification
Intentional Misuse: Possible higher fines, no cap

How a Packet Moves Through Your Workflow

A typical packet flows from preparer to verifier to recipient with audit logging at each handoff to ensure accountability.

  • Prepare: Populate fields and attach required IDs.
  • Verify: Compliance reviews identity and authority.
  • Authenticate: Obtain signatures, notarization or e-auth.
  • Deliver: Send to receiving party and archive proof.

Online Configuration Checklist for Electronic Completion

Configure your eWorkflow so each required field, signer, and verification step is enforced before submission.

Field Configuration
Required Fields Make client name, ID, and signature mandatory.
Signer Order Set sequence: client → verifier → recipient.
Authentication Enable email or SMS code; add KBA if needed.

Distribution Channels and Technical Requirements

Decide which delivery channels you will accept (email, secure portal, RON, courier) and the technical formats supported.

  • Formats: PDF, DOCX supported

Ensure recipients can receive the selected file types and that your chosen eSignature platform provides audit logs and encryption during transit and at rest.
