What a Client MSP Renewal Form Is

A Client MSP Renewal Form is a structured document used to extend or renew managed services agreements between a service provider (MSP) and its client. It typically restates the services, pricing, term length, service-level commitments, and any changes to scope or deliverables. The form documents mutual acceptance and creates an enforceable modification when signed by authorized representatives; it is often used alongside statements of work, purchase orders, and billing instructions.

Why a Formal Renewal Form Matters

A renewal form reduces ambiguity about scope, pricing, and term dates, helping prevent service disputes and billing errors. It creates a clear, auditable record of mutual consent that supports governance, procurement, and compliance needs.

Why a Formal Renewal Form Matters

Who Typically Completes the Renewal

Final sign-off is commonly completed by the client’s authorized signer and the MSP representative; maintain a copy for both contracting and billing records.

  • MSP account managers coordinating service terms and pricing.
  • Client procurement or vendor management confirming commercial terms.
  • Authorized signatories (finance or executive) completing final acceptance.

Typical Signer Roles

MSP Account Manager

Responsible for preparing the renewal form, summarizing scope changes, and coordinating internal approvals. Often the primary contact for implementation and SLA clarifications during the renewed term.

Client Authorized Signer

A procurement, finance, or executive-level individual with authority to bind the client. Must confirm pricing, billing instructions, and any compliance clauses before signing.

Essential Elements to Include

A professional Client MSP Renewal Form clearly captures administrative, commercial, and legal elements so both parties understand obligations for the renewed term.

Parties

Full legal names and corporate entities for both MSP and client to avoid ambiguity.

Effective Dates

Renewal start and end dates, including any automatic renewal or notice windows.

Services & Scope

Clear list or reference to the statement of work describing included services and exclusions.

Pricing & Billing

Updated fees, billing frequency, payment terms, and any escalation mechanics.

SLAs & Remedies

Service-level targets, measurement, credits, and dispute resolution paths for the renewed term.

Signature Blocks

Designated signer names, titles, signature lines, and dates for both parties.

Step-by-Step: Completing a Renewal Form

Follow a consistent sequence to prepare, review, approve, and execute the renewal to avoid processing delays.

  • 01
Prepare Draft: Update scope, pricing, and term; attach related SOWs or exhibits.
  • 02
Internal Review: Obtain approvals from finance, legal, and operations as required.
  • 03
Client Review: Share draft with the client for questions, redlines, or acceptance.
  • 04
Execute: Collect authorized signatures and distribute final fully signed copies to both parties.

Configuring an Online Renewal Workflow

Set these core fields when building a digital renewal workflow to ensure correct routing and legal compliance.

Field Configuration
Authentication Method Email link, SMS code, or stronger KBA for higher-risk transactions
Signature Order Sequential or parallel signer order to match internal approval processes
Conditional Fields Show pricing or SLA fields only when specific options are selected
Retention Setting Specify retention period and automatic archival destination

Where to Send or File the Completed Renewal

Renewal routing depends on contract governance. Typical destinations include procurement systems, CRM, and accounts payable.

  • Procurement Portal: Upload executed PDF to the client's vendor portal for vendor record updates.
  • Accounts Payable: Send signed billing terms to AP to establish payment schedule.
  • CRM Link: Attach the renewal to the client record in CRM for contract lifecycle tracking.
  • Vendor Management: Store final copy with vendor management or legal contract repository.

Technical and Integration Considerations

Choose settings that enforce audit trails and retention; verify that any required BAAs, SSO, or API access is provisioned for automation.

  • File Formats: PDF, DOCX supported for upload
  • Integrations: CRM and storage connectors (Salesforce, Google Workspace)
  • Auth Options: Email, SMS, and advanced authentication methods

Typical Deadlines and Timing Rules

Track key dates for notice, acceptance, and renewal to avoid unintentional auto-renewals or service lapses.

Renewal Notice Deadline:

Specify when notice must be given to prevent auto-renewal, often 30–90 days.

Client Acceptance Deadline:

Date by which client must sign to keep proposed pricing and terms.

Effective Renewal Date:

Start date for the renewed term; may differ from execution date.

Invoice Start Date:

When billing will resume or change under the renewed agreement.

SLA Review Window:

Time allocated to confirm SLA metrics post-renewal, typically 14–30 days.
