Why a complete Client PTS Form matters to your operations

Who prepares and who signs the Client PTS Form

Organizations typically assign preparation and signing responsibilities based on role and authority to bind the client or vendor.

  • Project managers or account executives complete form fields and attach relevant exhibits before routing to client.
  • Authorized client representatives (officers, managers) sign to accept scope, fees, and timelines.
  • Legal or compliance teams review high-risk engagements or where regulatory language is required.

Establish clear internal rules for who may sign to prevent invalid or unauthorized approvals.

Frequent preparation errors to avoid

  • Entering an informal or trade name instead of the legal entity name leads to mismatches in tax and billing systems and delays payment.
  • Using ambiguous scope language such as 'as needed' creates disputes over deliverables and may void parts of an agreement.
  • Failing to include complete dates or using inconsistent date formats causes timeline confusion and can affect statute-driven deadlines.
  • Skipping authorized signatory checks risks unauthorized approvals and exposes the organization to contract-enforceability challenges.
