What Client Receiver Information Is and when it’s used

Client Receiver Information is a standardized form that collects the identifying and routing details for the person or entity designated to receive documents, payments, or other deliverables. Typical uses include shipping or billing designations, electronic delivery addresses, tax withholding contacts, and authorized recipient details. The form centralizes names, addresses, tax identifiers, contact preferences, and any authentication or delivery instructions needed to complete or legally deliver the underlying transaction. Properly completed, it reduces misdirected materials, supports compliance checks, and documents the receiver for audit and recordkeeping purposes.

Why accurate Client Receiver Information matters

Clear receiver data prevents delivery errors, supports regulatory compliance such as ESIGN and UETA for electronic records, and creates an auditable trail that can be reproduced if disputes arise. Accurate entries reduce rework and financial or legal exposure.

  • Selecting a P.O. box for courier-required deliveries results in failed shipments and additional handling costs.
  • Failing to specify authentication or notary needs forces re-execution and weakens the audit record.

Consequences of inaccurate or incomplete receiver information

Backup Withholding: 24% withholding rate
Filing Penalties: IRC §6721 penalties apply
Payment Delays: Funds may be withheld
Contract Invalidity: Delivery failure risks dispute
Increased Audit Risk: Record mismatches trigger review
