What a Client Service Statement Is and When It Applies

The Client Service Statement is a concise, written record that outlines the services a provider will deliver to a client, including scope, deliverables, timelines, fees, payment terms, points of contact, and any conditions or limitations. It serves as a mutual reference to set expectations, document responsibilities, and reduce misunderstandings during a project or engagement. Many organizations use a Client Service Statement as a standard attachment to contracts or proposals; it may be signed on paper or electronically under U.S. e-signature laws such as ESIGN and UETA, using compliant platforms like signNow.

Why a Client Service Statement Matters for Risk and Clarity

A Client Service Statement clarifies responsibilities, reduces disputes, supports billing accuracy, and documents acceptance of terms. It creates a single reference for deliverables and timelines and, when signed electronically, satisfies the intent and attribution requirements of ESIGN and UETA for enforceability.

Why a Client Service Statement Matters for Risk and Clarity

Who Typically Issues or Signs a Client Service Statement

Service providers in legal, accounting, consulting, marketing, and real estate commonly issue Client Service Statements to set clear expectations upfront.

  • Small and mid-size firms that need standardized engagement terms and faster onboarding.
  • Enterprise teams managing recurring services, SLAs, and centralized client records.
  • Freelancers and independent consultants who require clear scope and payment terms.

Use the Client Service Statement to reduce onboarding friction, improve clarity, and provide a record for billing, change orders, and dispute resolution.

Essential Elements to Include for a Complete Statement

Core elements that make a Client Service Statement practical, enforceable, and easy to reference during an engagement or billing dispute.

Scope

Timeline

List start and end dates, milestone due dates, delivery windows, review cycles, and provisions for schedule adjustments due to client delays or external dependencies, including notification procedures.

Contacts

Identify primary project contacts for both parties, escalation points, communication channels, expected response times, and change-request procedures to ensure accountability and timely issue resolution, including backup contacts.

Acceptance

Define acceptance criteria, testing or review steps, sign-off requirements, and remedy or correction periods for nonconforming deliverables, including timeframes for dispute escalation and post-acceptance support terms.
