What the Client Signer Information Is and when it’s used

The Client Signer Information is a standardized record that collects a signer’s identifying details, contact information, signature preference, and authentication evidence to support execution and verification of a signed document. It is used whenever a client, customer, or counterparty must be identified and authorized to sign contracts, consent forms, tax-related records, or enrollment documents. Properly completed signer information reduces processing errors, supports audit trails required under ESIGN and UETA frameworks, and provides the core metadata needed for secure electronic signature and notary workflows.

Why collecting accurate signer information matters

Complete signer information preserves legal enforceability, speeds processing, and enables reliable identity verification. It establishes attribution, documents consent, and supports audit trails required by ESIGN and UETA.

Why collecting accurate signer information matters

Typical teams and roles that complete signer records

Organizations that rely on signed agreements routinely collect Client Signer Information as part of their execution workflows.

  • Real estate agents and brokers completing lease and purchase paperwork for buyers and renters.
  • HR and recruiting teams collecting signatures for offer letters, I-9s, and onboarding forms.
  • Legal and contracting teams documenting authorized signatories for commercial agreements and NDAs.

Capture the right details at signing to avoid rework, denial of claims, or tax withholding issues downstream.

Essential components of a professional Client Signer Information record

A concise, consistent template includes identity, contact, signer role, authentication method, and signature metadata. Use clear field labels and structured formats to reduce errors and enable automated processing.

Signer identity

Full legal name as it appears on government ID; include any DBA or trade name and the signer's title to confirm authority and attribution during audits.

Contact details

Street address, city, state, ZIP, email, and phone number to support service, identity checks, and delivery of signed copies; P.O. boxes are typically insufficient for legal service.

Role and authority

Specify signer role (e.g., authorized officer, agent, individual) and, where applicable, attach or reference a corporate resolution or power of attorney validating signature authority.

Signature type

Record whether the signer used a simple electronic signature, drawn signature, uploaded image, or PKI-based digital signature and note any witnessed or notarized elements.

Authentication method

Log the method used to verify identity (email link, SMS code, KBA, ID credential analysis, notarization) and any evidence such as ID number or verification provider.

Execution metadata

Capture execution date/time (MM/DD/YYYY HH:MM), IP address or device type, and an audit-trail reference to support non-repudiation and regulatory review.

Required data fields included in the form

Full legal name: Given and family names
Date of birth: MM/DD/YYYY
Contact email: Delivered signing link address
Phone number: Used for SMS codes
Government ID: Driver’s license or passport
Signature method: eSign type noted

Common online workflow settings for signer collection

Configure authentication, field behavior, and routing to match your risk profile and regulatory needs.

Field Configuration
Authentication Email link | SMS code | KBA
Required fields Name, email, date, signature
Conditional fields Show ID upload when flagged
Routing Sequential or parallel signer order

How electronic submission and routing typically flow

A standard eSubmission workflow moves the document from sender to signer, verifies identity, records execution data, and stores a signed copy with an audit trail.

  • Upload document: Sender uploads and maps fields
  • Send to signer: Email link or secure URL
  • Signer completes: Authenticates, signs, and dates
  • Archive: Signed PDF plus audit trail stored

Technical considerations for eSigning and integrations

Ensure the selected platform supports retention, audit trails, and any required BAAs or regulatory certifications.

  • Integrations: Salesforce, NetSuite, Google Workspace
  • File types: PDF, DOCX, HTML accepted
  • Security: TLS 1.2/1.3 and AES-256

Typical timelines and processing expectations

Set clear internal service-level targets and external expectations for signer response, verification, and record filing.

Request response window:

Target signer return within 7 calendar days

Verification window:

Complete identity checks within 48 hours

Notary scheduling:

Allow 3–7 business days for remote or mobile notarization

Correction period:

Allow 10 business days to submit changes

Document filing:

File or archive within 30 days of execution

Common mistakes to avoid when preparing signer information

  • Typographical errors in email or name that block the signing link and delay execution.
  • Collecting incomplete or informal names, causing mismatches with government IDs during verification.
  • Omitting the signer’s role or authority, producing later disputes over corporate approval.
  • Using weak authentication for high-risk documents and foregoing notarization when legally required.

Key penalties and risks from incorrect signer records

Missing TIN: Backup withholding 24%
Late filing: Information-return penalties apply
Invalid signature: Document may be unenforceable
Unauthorized signer: Contracts may be voidable
HIPAA breach: Civil penalties possible
Audit failure: Reputational and financial risk
