What the Client Wet Sign Package Is and When It’s Used

A Client Wet Sign Package is a prepared set of documents that require original handwritten signatures, often returned as signed hard copies. It typically bundles an engagement or service agreement, any creditor or tax forms that mandate ink signatures, notary acknowledgment pages when required, and a clear return and retention checklist. The package is used when counterparties or regulators insist on original signatures for evidentiary, statutory, or archival reasons and when electronic execution is not available or accepted.

Why assemble a formal Client Wet Sign Package

A consolidated wet sign package reduces errors, clarifies which originals require ink signatures or notarization, and supports consistent processing of physical documents across teams and vendors.

Why assemble a formal Client Wet Sign Package

Step-by-step: preparing and delivering a wet sign package

Follow a fixed sequence to prepare, verify, sign, notarize if needed, and receive originals to ensure legal and administrative completeness.

  • 01
Prepare Documents: Assemble finalized PDFs and print originals with form IDs and page numbers.
  • 02
Verify Details: Confirm names, dates, and addresses match IDs and tax records.
  • 03
Execute Signatures: Clients sign in ink in the presence of witnesses or a notary as required.
  • 04
Return Originals: Client returns originals by tracked mail, hand delivery, or in some cases RON procedures.

Typical users and team roles for a wet sign package

A Client Wet Sign Package is commonly handled by functions that require legally admissible originals or agency-compliant paperwork.

  • Private clients and counterparties who prefer or require physical signatures for trust or archival reasons.
  • Legal and compliance teams managing matters that need original signatures, acknowledgements, or witness attestations.
  • Real estate, escrow, and title professionals coordinating deeds, closings, and recorded instruments that may require notarized originals.

Assign a single coordinator to track documents, shipping, and return confirmation to avoid lost originals or missed deadlines.

Essential components of a professional Client Wet Sign Package

A well-constructed package combines clear instructions, all documents that need originals, notary-ready pages, and return logistics to prevent processing delays and legal complications.

Cover Letter

One-page instruction sheet describing which documents require ink signatures, whether notarization or witnesses are needed, deadlines for return, and preferred return methods with contact information.

Signature Pages

Dedicated signature pages for each document showing exact signature blocks, printed names, dates, and title lines so signers know where to sign and initial.

Notary Acknowledgement

Pre-formatted notary blocks including venue, notary signature line, seal area, and commission expiration to meet state notary requirements.

Witness Instructions

Clear guidance on witness eligibility, required documents to verify identity, and whether witnesses must sign simultaneously with the principal.

Return Envelope

Pre-addressed, postage-paid envelope or courier label with tracking instructions and a return checklist to confirm all originals were sent back.

Retention Copy Plan

Instructions for making certified copies, who retains originals, and internal steps to scan and archive signed documents upon receipt.

Security and compliance markers to include with the package

Encryption: TLS 1.2/1.3, AES-256 at rest
Audit Trail: Timestamped signing and handling logs
Access Controls: Role-based access and SSO
HIPAA BAA: Business Associate Agreement available
21 CFR Support: 21 CFR Part 11 compliance options
Certifications: SOC 2 Type II, ISO 27001

Major penalties and legal risks to avoid

Late Tax Filing: $60–$660+ per form
Intentional Disregard: $660 or more per form, no cap
I-9 Violations: $281–$2,789 per violation
HIPAA Breach: Civil penalties and corrective action
Missing Notary: Document rejection or voiding
Incorrect Signer: Enforceability challenges and delays

Common preparation errors that cause rework

  • Omitting required notarization or specifying RON when state law requires in-person acknowledgement, which can invalidate a signature for recordation.
  • Printing pre-filled names or dates that don't match the signer’s handwriting or ID, leading to rejected notarizations or demands for reexecution.
  • Failing to include a return envelope or clear deadline, causing late receipt of originals and missed filing or recording windows.
  • Using initials instead of full signatures where the document explicitly requires an original signature, which can impair enforceability.

How to route a wet sign package from sender to final record

A tight routing process ensures originals are signed correctly, notarized if required, and returned to the custodian with a tracking record.

  • Prepare Package: Print originals, include cover letter and checklist, and pack return materials.
  • Execute: Signer completes wet-ink signatures, witnesses, and notary steps in correct order.
  • Ship: Use tracked shipping or courier and retain tracking confirmation.
  • Record: Receive originals, verify completeness, scan, and archive per retention policy.

Configuring a hybrid workflow for wet and electronic steps

Define settings that combine physical signatures with digital tracking so each package stage is auditable and staff know who is responsible.

Field Configuration
Document Format PDF/A for archiving
Sign Method Wet ink or eSign per form
Authentication ID check before notarization
Return Method Tracked mail or scanned email

Technical requirements for scanning, tracking, and archiving executed originals

Confirm the file formats, integrations, and minimal scanning quality required to reproduce signed originals accurately.

  • File Formats: PDF, PDF/A, DOCX supported
  • Integrations: Google Drive, Box, NetSuite, Procore
  • Minimum Scan: 300 DPI color for signatures

Maintain chain-of-custody logs and attach scanned images to the master record to support audits and dispute resolution.

Typical eSignature options to complement a wet sign workflow

Use an eSignature provider alongside wet signature procedures to reduce turnaround for documents that permit electronic execution and to capture audit trails for hybrid workflows.
