What the Client Work Order PAF Is and When it’s Used

The Client Work Order PAF is a standardized project authorization and invoice-precursor document used to record scope, pricing, delivery milestones, and client approvals before work begins. It formalizes client instructions, establishes responsibilities, and provides an auditable record of accepted terms including deliverables, schedule, payment terms, and any change-order process. Organizations use a PAF to reduce misunderstandings, confirm budget and resource allocation, and create a single source of truth for project kickoff and billing. This guide explains required fields, completion steps, signature options, retention, and common legal considerations.

Why a Well‑Prepared Client Work Order PAF Matters

A clear Client Work Order PAF reduces disputes, speeds approvals, and documents client consent to scope and price, creating enforceable expectations for both parties under commercial contract principles and applicable electronic signature laws.

Why a Well‑Prepared Client Work Order PAF Matters

Typical Users and Signers of the Client Work Order PAF

The Client Work Order PAF is completed and signed by account managers, project managers, procurement personnel, and authorized client representatives to confirm work scope and pricing.

  • Account managers or sales representatives completing scope and pricing for client approval
  • Project managers confirming milestones, deliverables, and acceptance criteria
  • Client procurement or authorized signatory approving work and payment terms

Chief Procurement Officer or delegated client representative with explicit written or delegated authority; include job title and department to evidence authority and reduce challenge risk.

Provider Signatory

Authorized officer or account manager who can accept terms and commit company resources; cross-reference internal approval ID or PO number when required.

How to Configure an Online PAF Workflow

When using an eSignature platform, configure field types, signer order, and authentication to match internal controls and client requirements.

Field Configuration
Signer Order Sequential or parallel based on approval policy
Authentication Email link or SMS code; use stronger methods for sensitive transactions
Required Fields Mark signature, date, and key financial fields as mandatory
Audit Trail Enable event logging (timestamps, IP addresses)

Digital Signing and eSubmission Options

Choose a platform that supports your authentication, audit trail, and retention needs before sending the PAF for signature.

  • File Formats: PDF | DOCX | PDF/A
  • Integrations: Salesforce | NetSuite | Google Workspace
  • Compliance: ESIGN | UETA | HIPAA (BAA available)

Ensure the chosen platform preserves a tamper-evident signed copy and an audit trail that meets your recordkeeping and regulatory obligations.

Typical Electronic Routing Flow for a Client Work Order PAF

This routing sequence describes a common path from draft to archived signed document in digital workflows.

  • Upload: Sender uploads the PAF to the signing platform
  • Place Fields: Add signature, date, and required data fields
  • Send: Distribute to signers with defined order and authentication
  • Archive: Store signed copy and audit trail in document repository

Timing Considerations and Typical Deadlines

Certain PAF actions should be linked to milestone and billing deadlines to avoid payment delays and compliance issues.

Client Acceptance Period:

Typically 5–15 business days for deliverable review

Change Order Response:

Specify response window (e.g., 10 business days)

Record Retention:

Retain signed PAF per retention policy

Common Mistakes to Avoid When Preparing a PAF

  • Using vague scope descriptions that lead to disputes over deliverables
  • Failing to clearly link payment milestones to acceptance criteria
  • Not recording signer authority or job title with the signature
  • Overlooking required data fields such as billing address or tax identifiers

Risks and Consequences of an Incorrect or Incomplete PAF

Payment Delays: Invoices may be rejected for missing PO or incorrect billing
Contract Disputes: Unclear scope can lead to change-order claims
Tax Reporting Issues: Incorrect entity names can complicate 1099 reporting
Regulatory Noncompliance: Sensitive data mishandling may trigger HIPAA or FERPA risks
Invalid Signatures: Improper signer authentication can weaken enforceability
Recordkeeping Failures: Missing audit trail may harm dispute resolution
