What the Coaching Agreement for Drivers Is

A Coaching Agreement for Drivers is a written record used by employers or fleet operators to document a focused coaching or corrective action process for individual drivers. It captures the triggering event or metric, required remedial training or behavior changes, monitoring criteria, review dates, and the signatures of the driver and supervising representative. The form clarifies expectations, records consent to the coaching plan, and provides contemporaneous documentation that supports consistent HR decisions, safety programs, and regulatory compliance when incidents are reviewed.

Why a Formal Coaching Agreement Matters

A clear Coaching Agreement for Drivers reduces ambiguity, documents employer efforts to correct unsafe or substandard driving, and preserves an audit-ready record for HR and compliance reviews while supporting consistent application of policies.

Why a Formal Coaching Agreement Matters

Who Typically Uses This Agreement

Employers, fleet safety managers, and HR use the Coaching Agreement for Drivers to record incidents, set corrective plans, and schedule reviews.

  • Fleet safety managers — track coaching history, repeat incidents, and program effectiveness.
  • Human resources — maintain personnel files, schedule reviews, and support progressive discipline actions.
  • Drivers and mentors — acknowledge expectations, training steps, and follow-up review dates.

Drivers, mentors, and safety trainers should receive signed copies; retained records support audits and employment actions when necessary.

Core Elements to Include in the Agreement

A professional Coaching Agreement for Drivers is concise but complete: identify parties, define the issue, set measurable goals, assign actions, schedule follow-ups, and capture signatures to create a legally defensible record.

Parties

List the driver's full legal name and the employer or fleet entity, include job title and a designated supervisor or safety manager as the company's representative to bind respective obligations and notices.

Effective Date

Specify the agreement's effective date clearly using MM/DD/YYYY; this determines when remedial timelines begin, which affects deadlines for reviews and potential disciplinary steps.

Scope

Describe the behavior, incidents, or metric (e.g., speeding event, CSA score) that prompted coaching, including dates, locations, and any relevant equipment or route details.

Performance Metrics

Define measurable targets, acceptable ranges, and how improvement will be measured (GPS data, telemetry, supervisor observations, or documented route audits).

Corrective Actions

Record required training, ride-alongs, simulator sessions, schedule changes, or suspension details, plus responsibilities and deadlines for completing each action item.

Signatures

Provide signature lines for the driver, the supervisor, and optionally HR; include printed names, titles, and signature dates to confirm receipt and acknowledgment.

Common Mistakes When Preparing Coaching Agreements

  • Vague descriptions of incidents—lack of dates, times, or measurable metrics makes enforcement difficult and weakens documentation.
  • Missing signatures or unsigned employer representative lines, which can call into question whether the driver received notice.
  • Overly broad or indefinite corrective steps that lack deadlines and measurable success criteria, reducing accountability.
  • Failing to retain copies in the personnel file and secure archive, which impedes audits and legal responses.
