What the Coaching Service Package Is

A Coaching Service Package is a written agreement and set of materials that define a coach’s services, schedule, fees, deliverables, confidentiality terms, and client responsibilities. It typically combines a service agreement, session plan, payment terms, cancellation policy, and intake information so both parties have a single reference for expectations and deliverables. This package is used to formalize recurring sessions, one-off coaching engagements, or program-based offerings and can be signed electronically to create a clear record of consent and obligations.

Why a Clear, Documented Package Matters

A written Coaching Service Package reduces scope confusion, documents payment and cancellation terms, and records client consent to coaching methods and data handling. It protects both parties by setting expectations and providing an enforceable record of agreed terms under U.S. electronic signature laws such as the ESIGN Act (15 U.S.C. ch. 96) and state UETA implementations.

Why a Clear, Documented Package Matters

Who Typically Uses a Coaching Service Package

A clear package makes onboarding, billing, and dispute resolution more straightforward for providers and recipients alike.

  • Independent coaches and consultants who run one-on-one or group programs and need consistent terms across clients.
  • Coaching practices or firms that bill, schedule, and manage recurring sessions and require standardized intake and invoicing.
  • Organizations that contract external coaches for employee development programs and need documented deliverables and confidentiality assurances.

Core Elements to Include in a Professional Package

A complete Coaching Service Package organizes legal, operational, and scheduling details so that the coach and client share the same expectations. Below are primary components to include for clarity and enforceability.

Service Scope

Precise description of coaching topics, session length, number of sessions, and program objectives so deliverables are measurable and well defined.

Fees & Payment

Fee schedule, billing frequency, acceptable payment methods, late fees, and refund or cancellation terms to avoid billing disputes.

Schedule & Rescheduling

Standard session times, cancellation notice windows, rescheduling policy, and consequences for missed sessions.

Confidentiality

Mutual confidentiality provisions, exceptions required by law, and data handling for any personal or health information collected during coaching.

Termination

How either party may end the engagement, notice requirements, and obligations on termination such as final payment or delivery of work product.

Signatures & Consent

Signature block, effective date, and electronic signature consent language that meets ESIGN/UETA requirements for enforceability.

Step-by-Step: Completing the Coaching Service Package

Follow these steps to prepare and finalize the package with the client. Each step creates documentation that supports enforceability and client understanding.

  • 01
Draft the Agreement: Populate service scope, schedule, fees, and policies in a clear, plain-language draft.
  • 02
Review with Client: Walk through key terms with the client and document any negotiated changes.
  • 03
Confirm Payment Method: Collect payment details or deposit and note billing schedule in the document.
  • 04
Obtain Signatures: Secure signatures from both parties with date and electronic signature consent recorded.

How to Amend or Renew a Package

Use a simple amendment process so changes are tracked and effective dates are clear; renewals should reference the original agreement.

01

Identify Change:

Describe the specific clause or schedule that must change and why.
02

Draft Amendment:

Create a short amendment document that cites the original agreement and states the new terms.
03

Obtain Agreement:

Have both parties sign the amendment with a date and electronic consent.
04

Attach to Original:

Store the amendment with the original package so the full record is preserved.
05

Renewal Notice:

Provide written renewal terms and a deadline for acceptance where applicable.
06

Finalize Payment Changes:

Update billing schedules and notify finance or bookkeeping systems as needed.

Customizing an Online Coaching Package Workflow

When configuring a digital workflow, map fields and steps so the client experiences a consistent intake, review, payment, and signing process.

Field Configuration
Intake Form Collect contact, goals, and emergency contact details
Payment Capture Require deposit or card entry before finalizing
Review Step Add a review checkpoint for negotiated changes
Signature Flow Set signer order, authentication, and final copy delivery

Where to Send and How Documents Move

A typical routing pattern moves intake to billing, then to review, and finally to signature and distribution; define destinations for each step.

  • Intake Destination: CRM or client folder for intake data and intake forms
  • Billing Destination: Payment processor or accounting system for invoices
  • Review Destination: Coach inbox or shared drive for contract review
  • Final Delivery: Signed copy distributed to client and retained by coach

How to Share and Sign the Package Digitally

Verify the chosen method supports intent, attribution, and record reproduction under ESIGN/UETA and stores an audit trail for each signature event.

  • Email Link Delivery: Send a secure signing link via email for convenience and audit trail capture
  • Embedded Signing: Use an embedded signing page within your website or client portal if available
  • In-Person or Kiosk: Offer in-person tablet signing for clients who prefer face-to-face execution
